Transcript for "Beyond the Basics: Leveraging Quickbase Extensions to Transform Workflows":
Hi, everyone. Welcome to today's webinar where we are gonna be talking a little bit more about, Quickbase extensions. So we are gonna dive into the content shortly. But while we get started, please continue dropping in the chat where you're joining us from. We always love seeing everyone across the country, across the world, where everyone is dialed in from today. Special shout out to Neil, who dropped that. He's from Saint Paul. As a Minneapolis resident myself, I love to see the Twin Cities representation there. So, great to see everyone. My name is Charlie Kleiner. I am a customer marketing manager here at Quickbase. So, you know, my main role and responsibility is really to share with all of you how to get the most out of your Quickbase account. And a big piece of that is Quickbase extensions, which is what we are covering today. So before we dive into that, I do just wanna get a few housekeeping items out of the way. So all of you are dropping in the chat where you're from right now, which is great. Feel free to use that chat throughout the webinar for, various, you know, comments and things like that. Always helpful to see and get that engagement from all of you. You will also see a document tab, within that same area. That includes some helpful resources kind of as follow-up from this webinar as well. So some additional information about quick quick based extensions, like a guided tour, web pages about those specific extensions, especially those three new extensions that we're gonna cover today. So definitely take a look there. Finally, we do have that q and a section as well in that same tab as the chat and the documents. So feel free to submit questions at any time throughout the presentation today. We will use time at the end to answer as many questions as we can. And if we can't get to all the questions today, we will make sure that someone follows up with you directly. So definitely please use that q and a feature there. We are recording this webinar as well. We will send the recording to you tomorrow via email. So if you have to, leave early or wanna revisit the content or share this out with anyone on your team, you will be able to do so. Again, that will be sent out to your email tomorrow. So with that, let's get started and dive in. So I'm gonna introduce, first and foremost, our extensions experts for today who are our speakers that are be gonna be covering the extensions package and those new extensions. So first and foremost, I'm gonna bring Sam Traci onto the stage, who is a senior product manager here at Quickbase. Sam, can you say hi and Hi, everyone. Yeah. Sam Tracey here. Been with Quickbase for about five years, but have, my gosh, grew up on Quickbase. I talked about Quickbase with my folks growing up at the dinner table. So, but long time listener, first time caller to to, these folks here. So nice to meet everyone. Love it. Thanks for being here, Sam. And with Sam, a familiar face if you've been on any of our past extensions webinars, Keith Dusis, who is our extensions product advisor. Keith, can you say hi and introduce yourself, please? Yeah. Sure. Hi, everyone. Keith Justice. Thanks for joining today. Former CEO of Juice Technologies. Been working with Quickbase for twenty plus years. One thing that kinda set us aside from the other partners, because we we've been a partner from the very beginning, is we built what we call Quickbase add ons or add ons for the Quickbase platform that kind of extended the the functionality of the core platform. And since our acquisition, we were acquired by Quickbase in November 2025. They've been now rebranded as Quickbase Extensions. And I apologize. I will probably say add ons throughout this whole presentation, but they're one and the same. So when I say add ons, I mean extensions, and, I hope to not say it as many times as I think I'm going to say. But, welcome welcome, everyone. Thanks for joining us. Perfect. Thank you, Keith, for being here. So just briefly what we're gonna cover today, we're gonna kind of start out with, you know, a little bit of of information around going beyond the basics, how extensions can really help you transform your workflows that you're already using in Quickbase. Then Sam is gonna walk us through, an actual overview of the extensions packages, what those look like, what those options are for all of you. Then we'll go through, all nine of those extensions, including, you know, a little bit more info on meeting the new extensions. So our three new extensions that we've just added to the package, PDF merger, PDF stamper, and package builder. So we will dive into those three as well. And then Keith is gonna walk us through a demo as well of how all of those extensions work together within the package. And then like I said at the end, we'll have some time for questions. So again, feel free to submit those, throughout the Q and A tab at any point during the webinar today. So with that, I am going to turn it over to Sam to get us started. Hey. Hey. Alright. Thank you. So, before I get into the details, I wanted to paint a quick picture. So most teams working in Quickbase are also jumping between a handful of other tools, right, to get things done. And maybe it's a separate esignature platform or email notifications going out to Outlook or, docs being generated, it can get kinda parry. But what, the Quickbase extensions are designed to fix, is just that. You know, they pull all of that work into one place. So think DocGen, esignatures, messaging mapping, it's all inside Quickbase with these extensions. And so I wanna be clear about something, though. We aren't reinventing the wheel. These are proven capabilities the teams have relied upon for years with Juice. What's changing is that they're now a part of Quickbase and running on the same secure compliant infrastructure, that Quickbase does. So, you don't have to add complexity to your tech stack. You you're able to reduce it with fuel fewer tools, less friction, and with the workflows that that are from start to finish. So, there are nine extensions total with with more to come. So let's let's let's give you a quick tour. On the document side, you have Exact Forms Plus, which lets you generate Word or PDF docs straight from your data. On, Excel docs, it it does the same thing, but for Excel. And Keith will go into greater detail with these, later on here. PDF stamper is for when you have an existing PDF template and just need to drop data into it. And then you have PDF merger, which is somewhat, similar to a a package builder, which I'll which I'll get to in a second here. But it's think combining a bunch of files and mixed formats into one clean PDF. And then package builder is for when you need to bundle a whole set of documents together from one record. So think like onboarding packets or or project proposals. Courier is your next tool. It's the email tool triggered. Think triggered, scheduled, and on demand email orchestration. On the signature side of, you're talking JuiceSign. So, JuiceSign handles things like email signatures that are legally binding, fully tracked, part 11 compliant right inside Quickbase. We have TextMyQuickbase, which, does the same thing, you know, or similar thing to Courier, but over over SMS, which is huge for field teams or, for anything that's time sensitive. And then lastly, there we have QB maps, which, puts your records on a live Google map. So if you're managing job sites, deliveries, service territories, you know, things like that, you you can actually see it. So nine extensions on one bundle, and the idea is that whatever your workflow looks like, you got, you you have what you need to to execute and get the work done. Now as far as how it is packaged, there's there's three tiers. The entry point is this core tier here, which is $3,600 a year. And what I think is worth highlighting is that even at this level, you're getting all nine extensions. So, like, nothing is gated behind, you know, a higher tier. And the difference really between these tiers comes down to transaction volume. So, like, core comes, with 25,000 pool transactions annually, and it's available for quick based business plans. So if you're like a small team or just getting started with extensions, this is a very accessible way, to get in. The pro tier, which is a step up, to the $10,000 a year, the big jump here is, again, volume. Right? So instead of 25,000 transactions, we're talking 500,000 pulled transactions. It's the same nine extensions, just significantly more runway for teams that are running higher volume of documents, signatures, messages, and so on. This one is available for both business and enterprise plans, so it opens up, a bit more flexibility on the licensing side. And at the top end, you have the enterprise tier at $20,000 a year. This comes with a million pulled transactions, and this is really built for organizations that are running our extensions x at scale where volume is a core part of their operation rather than the occasional need. And this is also available on, business and enterprise. So here's the full picture side by side, and the and the thing I really wanna drive your attention to is that the core value proposition doesn't change across all tiers. Right? All nine extensions are shared across all three levels, and what you're really choosing, between really depends on how much, capacity you need. So 25,000 at core, 500,000 at pro, and a million at enterprise. And the idea is that the package at that point really just helps to pick itself. And if you're unsure about where you land, that's a great conversation to have with your account team. They can help model it out, based on your usage patterns. So, yeah, with that, I'll hand it off to Keith to dive Keith to, dive deeper into the extensions, for greater detail. So, Keith, you ready? I'm ready, Sam. Thanks. So, Awesome. yeah, just as Sam mentioned, I'm gonna take a a deeper dive into each one of these add ons just to highlight some of the the key components of each one. So, again, is that once plus our flagship product? It helps you generate word and PDF documents. Click a button, generate a document. Click a button, generate multiple documents. You gather data throughout your application, and you can place that data throughout throughout the, the document. It starts with a Word document as its template. You can use the advanced features of Microsoft Word. You can use table of contents. You can secure your documents with passwords. You can use watermarks, barcodes, and so on. So this is like a step up from the normal, from the standard document template or document generation, native feature set of Quickbase. This just takes it another step further to generate when you wanna generate very advanced, sophisticated, professional looking documents and if you wanna generate them in bulk. Common use cases, invoices, proposals, contracts, license agreements, any document, any business related document that you need to generate from your quick base application where you're gathering and managing your data, you can use exact forms plus for. Again, single button click generate multiple documents, you get consistency, you get professional looking documents, and and it's really one of the the product that really started us off. So moving along to another document generation add on called Excel docs or and I said add on, it's the first one. So Excel docs extension, very similar to ExactOne's Plus, but the output format is gonna be Excel. So if you you you have these very sophisticated Excel documents that we all like to use and we wanna continue to use them, and and Quickbase is not, you know, trying to get you to not use Excel when it comes to that formatting your output. Exact Excel Docs allows you to take advantage of of your own custom Excel files and format the data the way you need. So you can gather data from not just one table, but many tables throughout your application. You can take advantage of pivot pivot charts, line charts, bar bar charts, anything that you can do, all those different objects, nice visual objects within Excel, you can take advantage of with Excel Docs. Again, you can also generate invoices, proposals, quotes. It really really depends on your need and what you're comfortable with, so that's why it's very similar to to, Exact Funds Plus, but you're getting getting get your output in Excel. You can also get the output in PDF or CSV format. And just like with with the Xactfluence plus, you can store these documents outside of Quickbase if you like. So you can store them in Amazon s three or Dropbox, but, obviously, you can store them inside Quickbase and file attachment fields. Again, the main here the main, I I guess, benefit here is your document, your spreadsheet, the way you want it to look. Moving on to our next. I'm not able to advance here. Charlie, slide advancing stopped. There we go. Sorry about that. But PDF stamper is our is our next document generation add on, and this is actually one of the newest ones that has just been added to the bundle within the last couple of weeks. In PDF stamper, the real value here is you have some standard industry PDF form that you need to place data throughout, that that you're storing and managing in your Quickbase application, you use PDF standard for that. So we're talking about government forms or maybe industry standard forms, you know, w nine, I nine, w four, maybe some OSHA forms or AIA documents. You can't really replicate that in Word and create a template out of it because, you know, you really need to be in that rigid format. PDF stamper will help you take the data from Quickbase and place it throughout and then throughout the document. You can use fillable PDFs. You can place data through x y coordinates. But, again, it's really being able to take advantage of the documents that you have and the and the creativeness that maybe someone put together in a PDF, and you wanna just basically take data from Quickbase and and and place it throughout the document. That's why we called it stampers. So it's stamping it through the document. Next on, document generation, it's PDF merger. This is a powerful one because not only can it merge documents together, but it can also create a a merge PDF file from various types of files. So, like, the image shows on the right hand side that you can take a a Word, Excel, another PDF, an image, an email message, a text file, any any type of, file extension. What media p f merger will do is we'll grab those files, put them together. It converts them each to individual PDFs and then merges them all together at the end. And, again, that can also store outside of Quickbase, in s three or Dropbox. Another, I guess, another powerful benefit of this is, you you not only can can take files from the same record in file attachment fields, you can grab files that live in another table. So if you have a files or documents table that's connected to your master table, you can go grab all of the files in that other table or select files in that other table and merge them together. Moving on to our package builder, I mentioned our document generation and ons. You have ExactForms Plus, Excel docs, PDF Stanford, PDF merger. Package builder basically is a is a controller or it's an orchestrator. So, basically, package builder can say, alright. I wanna run each one of those add ons, and I wanna run it in this sequence to generate the document packages that I wanna generate. So so package builder doesn't actually create anything. It's really just a controller, and it says, I want you to run, then I want you to run, and then I want you to run. And at the end, it runs PDF merge to put them all together if you wanna do that. You don't have to use PDF merge to put them together, but that's typically what will happen. The very last step in the process is usually PDF merge it to take all of the files that were generated throughout the process and put them together into one single PDF. Moving on to some of our messaging, one of our messaging, extensions is courier. So this allows you to send out emails, similar to email notifications, but the advanced side here is you can send them out from your own email address. So instead of sending it out from notify quickbase dot com or from Keith Justice at, or, via notify via quickbase, None of that anymore. You can actually send out the emails directly from your email server. So we connect to your email server, whether it be Office three sixty five or Gmail. We can connect to it and send out the messages right from from your email address. Another benefit here is you can attach files, you can attach multiple files, you can, control the reply to so when that when your recipient does get the email and hit reply to, it can go to whoever you want it to go to and you can handle the copies, multiple copies, multiple tos. Emails can be sent on a trigger basis. So when something happens in Quickbase, send out these emails similar to email notifications. You can send it on demand, meaning if you wanna have a report, send out multiple emails to multiple records the email address on multiple records. Do it on demand by clicking a button, or you can schedule it to run. So schedule it at, 08:00 every Monday morning, and it can go out that way. So moving on to our Juiceign, which is our electronic signature, extension. This is very similar to DocuSign. So if you're familiar with DocuSign, you'll you'll you'll see some similarities here with DocuSign. We did model it off of DocuSign, and it allows you to basically send out documents that were created with one of some of our extensions or not. They don't have to be created by extensions. Obviously, it works well when they are. But you can send those out to multiple recipients. So more than one person needs to sign, you can do that. You can have a copy person, so you don't have to actually sign it, but maybe they get copied. And again, these are legally binding signatures. We have terms that that people have to check off to make sure that they do agree to assign digitally. You can you can sign drawing signatures. Again, mainly used for contracts, proposals, NDAs, anything that really requires a signature, purchase orders, change orders, and so on. Text by quick basis, it's similar to courier as as Sam mentioned. And instead of sending out emails, it's sending out text messages or SMS messages. So it'll connect to the the the major carriers. So, you know, the AT and T's, Verizon's, T Mobile's, etcetera. You can do two way communication so you can send out messages and then you can get the response back and store that all in Quickbase. So it logs it all in a table by any Quickbase application. You can bulk send too, so you can have a re based on a report. You can filter out a report and say, I wanna send a text message out to all of these individual people on this report, and it will go out. And, again, they can individually reply back and we'll capture that and store that in Quickbase. So it's really a two way communication SMS. And, one thing I wanna point out here is there is a third party involved in this that we do use. It's called eSendex. You're really the other middleman here and because of all of the, you know, issues with spam from text messages and so on, you actually have to have a verified campaign to send out text messages from Quickbase. And when we do that because we we need to conform and and not not, be flagged for sending out spam, so that's why we use this third party. And it is it's not optional. It has to be used. In order to use TextMyQuickbase, you need to use our third party vendor, ESendX, as well. And last but not least, we have QB Maps. It's a it's a way that you can visualize your data on a on a Google map. So if you have location based data, you have project data, you have job sites, and so on, and you or you have technicians or both, we can, present a map and we can show locations from a single table or from multiple tables. You can get driving directions. You can you can capture latitude and longitude. So maybe you don't have a physical address. We can still plot based on latitude and longitude. So that's our Qdemy maps extension. So I want to actually I talked a lot about these, but I actually I want to show them in action. So let's just jump over to I'm gonna share my screen right now. Let's see here. Here we go. Okay. Everybody see. Is that right? Thumbs up? Good? Okay. So this is a a quick based application. It's a sales proposal management application. I just put it together quickly to show all of the extensions in action. So all nine extensions are are installed in this application. I'm going to create a quick proposal, and if you joined our last webinar, you might have noticed that, you know, it's very similar. It's the same application, but what I did is I cleaned it up a bit and I also show I'm going to I kind of separate it out now that we have nine extensions running here, just so that we can kind of break things out and show them separately. But, you're obviously not going to have a screen like this in your application. You're going to have, you know, sections that make sense and are relevant to your application, but that I'm depicting it right here this way. So I'm going to just quickly create a proposal, a proposal. I'm entering the cell phone number here so that I can show the text in my quick base. I'm also gonna enter in an address here. I'm gonna enter in my office address. So I wanna show that. Oops. I'm gonna end it up here. So we'll end up seeing that on the map. We'll also see that in. So when I hit save on this, what's happening is I have, I have a pipeline in the background generating a bunch of, line items. You can see them populating here. I didn't wanna manually type those in because you can see why I couldn't enter the address improperly. So forget about it. There's 16 line items here. So I generated 16 line items with a pipeline, and what I wanted to show how our our Excel doc Excel docs, extension is gonna be fired or triggered to run-in batch mode. So a lot of run ins you can run with a click of a button, but I wanted to show one of the extensions being run by an email notification or by when a record is added and then a pipeline runs and updates, Exact one, Excel docs gets gets executed. That happened because the pipeline generated these 16 line items, but it also updated the project status. And I have a an email notification set up to say when the stat when the status changes to draft, go execute Excel docs. And if we look at the Excel docs tab, you can see that it did run. So we generated a PDF with Excel docs by triggering it to run from the pipeline, but the pipeline updated the record and then foreign, the the document to be generated. So if I look at that document, you can see here's a PDF. And, again, Excel dash can generate Excel files, but it can also generate PDFs. I generated a PDF here because I'm gonna use that later in our in our package, with the exact ones plus. But you can see I generated a a a nice looking PDF that has summarizations, it has pivot charts, it has bar charts, it has line charts, and that this is something that I wanna use in the proposal I'm gonna send out to my customer. Now if I wanted to create that in Excel, I could too. So I have a button here just to show you that I'm gonna create that same file. I'm gonna create it in Excel as opposed to a PDF. And, basically, it just grab all the line items and summarize them and put them in pivot tables. And use the graphs, the line charts, and so on. So that's that's the power of Excel Docs is being able to take that data and push it out to your Excel file, and then you can do what you want with it from there. Okay. Close that. So so we ran, Excel docs. So the next step here is, I wanna run PDF stamper nest because I have a I have, the the job site is is in New York, and there's a form in New York that has to be filled out from the health department, and I wanna actually stamp data from from the, proposal record right in that document. So I'm gonna run PDF stamper next. So this is grabbing that that industry standard form from New York State from the Department of Health, and I just stamped the buyer's information, the address information, the email address. I only took out a couple pieces of data from there. I actually have a checkbox here, so I was able to check a box. So this is a standard form again that I'm not gonna recreate this in Word and try to replicate that format. I wanna use that exact document because I have to share it with the government, and I wanna basically stamp data throughout it. So that's what I did here. I'm gonna close that one. Next, I'm gonna show you PDF mergers. So let's say I have some construction files I wanna include in a proposal that I'm gonna send to my customer. So I have a building picture, maybe I have another building picture. And that's all for now. So I have two image files, and and I wanna actually use them in a proposal I'm gonna send out to my customer. So I'm gonna go back to PDF merger. I edit these two files. They're living in a files table, which is separate from my proposals table, and I wanna run, PDF merge and to take those two files and convert them to PDF and put them together. So I just click the button to run PDF merge. What it does is it updates, the trigger field, which sends an email notification out to say, hey, PDF merge. Go do your thing. And so I'm just gonna refresh the screen one more time, and there we see that it was completed. Here's the file. So it it took those two images and put them together into a file. So it's a two page file with two images because I wanna include that in my proposal. So I generated my Excel document. I stamped the PDF. I put two image files together. Now I'm ready to actually generate the proposal that I wanna send to my customer. So I'm gonna use Xactflones Plus to do that. Now Xactflones Plus is not only generating a a nice professional looking proposal, it's grabbing the files that were created by Excel docs, PDF stamper, and PDF merger, and it's gonna append them at the end. So it's almost doing what kind of PDF merge it does, but Xactlens Plus can only handle PDFs. So that's where, the the power of PDF merge comes into. Can you it can handle other types of files. So let's take a look at this proposal. So I'm grabbing information from from the record, placing it throughout the document. I was able to reformat those 16 proposal line items in a nice professional looking way. I'm able to sum total them and format everything the way I want. I can even grand total them. I can control the widths of of the columns as well. I have some areas here for signature, which we're gonna use in our next, extension. And here's that file that we created with Excel Docs. Here's that PDF file that we stamped with PDFStampra. And here's the two images that we merged together with PDF mergers. So I created a nice looking package that now I want to send out to my customer. So moving along, we we we just went through our document generation extensions. And now I wanna send this out to my customer so they can review it and let me know if they if they agree to this proposal or not. So I'm gonna send it via courier. So obviously, I have my email address here for my buyer. I'm gonna click this button. It's gonna update this trigger field, and it's gonna send out an email. Let's do that. Now courier can obviously I could have automatically sent that without clicking this button. I could have done it once the file attachment field was updated or when the date was updated. But I decided I wanna do that on trigger because I wanted to review it first, then I wanna send it. One other benefit of courier is not only do we do we send out the emails from your mail server, but we also log that we sent that email. So a lot of times with email notifications, people ask, did they go out? When did I send it? How many times did I send it? Well, you can log that right in your Quickbase application so you know that on 06/17, I did send an email out to Keith. So let's go to my Gmail. Let's refresh it. There's the email. I actually used Matthew Tillinghast's email address to send it out. I connected to his email address his his email account. And here's the the message that Curry has sent. You can control the subject. You can control the message by all within Quickbase. And here's the file attachment. So it's a physical attachment. It's not a link to a file, so you don't have to have your file open to everyone on the Internet. So here's the proposal that we saw before. And, again, it has all of the pages in it that we mentioned before. So me now as the customer, I'll contact the the the seller and say, yeah. You know what? This is good. Why don't you send it to me so I can really sign it and let's move this project along? So let's move on to YouSign. So we just hit the hit a bunch of add ons here. So now we're moving over to our signature add on. So with YouSign, it's gonna grab the email addresses of the two people up here, and it's gonna use those when it's sending them out. Now with Juiceign, we have two user experiences. I'm gonna show that here. What this is a little an interim page that says, are you sure you wanna create an agreement and you wanna send it out to these people? And this is the proposal file that we're gonna grab that was generated by Xactforce plus. Here's some some some reminders and, what one of the the powerful features of Juiceign is it can send out reminders, and you can control how often they get sent out. You can also expire that agreement. So if after, in this case, I'm expiring it after a hundred and twenty days. You can control that. That's just the default we have. And we can send reminders and warning reminders and so on, and you can control all of that. But we have two that say user experiences. So, even though I have the email address here, maybe I don't wanna wait for an email to come. I'm the salesperson. I'm in this app. I don't wanna wait and go to my email to to sign off on this document. So I wanna be a captive recipient. But, obviously, my customer, I'm gonna need them to sign off remotely. So I'm gonna hit click send to Duosign, which is now gonna open up this window so I can sign off. So I'm gonna click on the I have terms and conditions I have to review. I'm gonna click on this box that says, yes. I agree to those terms. I'm gonna click continue. And, again, if you're a DocuSign customer, yeah, this is very similar user experience that that you have. So, again, I'm the salesperson. I kind of I'm gonna quickly review this. I know what I'm gonna send to my customer. I created this. I'm gonna click to sign. I can choose a predefined signature. I can draw a signature if I'd like, so I'm gonna choose one. I'm actually gonna enter in a title because I wanna show you how we can grab data that's entered by the recipients and store that back in your Quickbase application. I'm gonna initial. And again, if you look through this document, it's the same document that we saw that that was created by XactForms Plus, and we'll have some some spots for our our buyer to sign. So if everything looks good, I'm gonna click finish. I'm gonna close this window. Back into Quickbase now, I wanna show you that we're logging that whole process. So what YouSign does is we create an agreement record, which is lives down here and shows the overall status of the agreement. And then it shows that there's two recipients involved. The first one signed it already. It's completed. And the other one, well, let's see. Nothing's happened yet. So let's refresh. So now we go back here, and now, oh, it shows as delivered. So that means email was actually sent out. So let's go to my email. Let's see that. I'll bring this over. Okay. So here, I got the email from Juiceign, and I'm gonna click on it to review it. And, again, you, as the customers, you can control the branding and the email message. You can control the subject. You can control the messaging and so on. So, basically, the seller or the buyer is gonna now click this button here to review the the agreement. This is the same one that we sent out via courier, but now it's official officially being sent out via Juiceign so it can be captured for signatures. So, again, the the person who's the the buyer is gonna look at the terms and conditions. They're gonna say, yeah. You know what? I agree to this. Now watch my check this button. I wanted to I wanna show you I wanna go back to Quickbase and show you some real time updates. So I didn't refresh yet, but the status was delivered. But now when I refresh that again, I go back to my Juice sign. We see that status was updated to opened. So so here we have real time communication going on between our Juice sign user experience as well as Quickbase. So the minute that check that was checked, we updated quick base so that somebody know that, hey. The person did open this agreement. Now the the buyer might he might continue or she might continue, and they might decide to finish later. They have options to do that. But at least we know by updating that checkbox that we they did open open it for review. You can send off regular email notifications to alert anybody on your team to to know that they did do that or not, but it's just another option that you have. So right now, again, I'm the buyer. I'm gonna go through this. So I see my seller signed off. So I'm gonna actually, I want this time I'll draw. That's terrible, but I'm gonna you know, if I don't like it, I can just reset it and do it again, and click save. I'm gonna also I'm gonna be the COO today as the buyer. I'll initial. But you'll notice too, we had another place for this buyer to sign that was in that PDF stamp document. So let's grab their signature there as well. And now, again, the the whole document had everything that we we saw before. So now I'm gonna finish. So and one one thing I wanna point out here is this landing page is controlled by you, Quickbase customers. So you you can decide what landing page you want when the signing process is complete. It could go to a page on your website. You can give us a page and and you you host the page. We can just point to it and redirect the the customers to that. So let's go back into our quick base application. So we should see some status updates when I refresh this. So we can see that everybody completed. So we had two recipients. They both completed. We also wanted to show up here is there's those two fields where the titles were entered. So the seller, which was me, I was the CEO, and the buyer was yeah. So if you need to capture, you know, collect a PO number, or or some other work order number from your customers, you can do that. But you can you can collect a lot of information if you want. I just wanted to show you how we can collect at least one piece of information from from both signers and store that in Quickbase. Let's just give this a refresh one more time because we're we're hoping that the final signed document is gonna land here, which it did. So a lot of times you have documents that get signed, they get sent out, and and when they come back in, who knows what you do with them? Well, here, we take that out out of the equation because we're storing it all in that same record. So now if I look in this document, I have the fully signed document that was sent out. So I have both signatures, titles. I have another signature here. And then what also I have is a agreement certificate. So this gives you a summary of what happened during the process. How many signers were involved, the dates, so when they opened it, when it when it was living, when it was opened, when they accepted the terms, meaning they checked the box, when they signed it to capture their signature. And then actually, we have the terms and conditions that were in play when the agreement was actually sent. So if you have a change in terms and conditions, we still capture the ones at that that were in play at the time of of signature. So that's our now this document too, this doesn't have to be included in the the original. So we can bring this back separate. So the the the agreement certificate can come back in a separate file attachment field because you probably don't wanna have that sent out to your customers. I just wanted to show it that we do bring it back in a single in a single document. So not only did we do that with with Juiceign and we sent out and we had that, and we have messaging going on as well. So we're using our text my quick base. So I sent out a message to the the, the buyer letting them know what happened. So let me just open up my cell phone here. I am connecting. Alright. Just gonna bring this over. So here is on my cell phone number at 01:36 today, thank you for signing a proposal. So now I'm gonna show you two way communication, and we log that message too. So I'm gonna say, okay. Well, thank you. Let's get started. Boom. So I just sent that message back out, and we're gonna see that land back in quick base as well. Once I refresh the screen here, There you go. Thank you. Let's get started. So showing two way communication with our text my quick base extension. So that is, a bunch of extensions here. That's eight that's seven of the nine that I just showed you. Now you're probably thinking there's a lot of button clicking going on in this. So here's where the value of package builder comes into play. So when I'm when when I want to generate that full package, if I wanna control it a little bit better, meaning I don't wanna have to come in here and have something far to generate Excel docs, click a button to stamp, click another button to merge, click another button to generate the the proposal, I have package builder that can kinda do all of that for me. So and basically, you can control the sequence too. So if I have a specific proposal type that needs to generate those documents in a different order, I can do that just by controlling the document templates. The document templates really drive what add on. If I go to my document templates table, so I have each one of these document templates has a record ID, a 1243. And I have a sequence here of 1342 because that's how I wanna generate them. I wanna generate the Excel doc first, then the stamp, then merge them, and then the the EFP document. Okay? Just by clicking a button. So, again, I don't wanna generate I don't wanna click click click click because maybe there's too many buttons to click. I don't want to leave that by to chance to my to my users to do it right. So here, I'm gonna click this package builder. So we have a user interface as well that actually shows you what's going on in the process. So right now, it's running Excel documents. So it grabbed template number one, and it's generating that same document. When it's done, it's gonna go to the PDF stamper next. It's gonna grab template number three and generate that document. When that's done, it's gonna go to PDF merge and grab the and merge is gonna go grab those two image files, put them together. And then when it's all said and done, it's gonna fire off XactForms plus to generate that full package. And you you have you have we have time based information here for, you know, what how how long each step took. And now it's all done. I'm gonna close this window. Now I could have had a different file attachment field set up to store the final package, but because I wanna use this with with Juice sign and and Courier, I use that same file attachment field. But what I did do is I changed the file name so you know the package builder did it. So you can see that I have two files in this file attachment field. The The one with p b is the package builder one generated one. So again, if I open that up, it's the same file that Exactforce Plus generated when I manually click the button, but it generated through the package builder. So there is the eight of the nine add ons showing the three new ones and I don't want to leave out, I don't want to leave out maps so I want to click quickly go to that. Let's see. So with with I'm gonna actually use, TextMyQuickBase with that with our QbMaps. So what I want to show here is how TextMyQuickbase can send out multiple messages just by grid editing. I'm only going to send out one in this case because I only have one phone here to work with. If I can check this this box, but if I had a whole bunch of records on here with a bunch of cell phone numbers, I can grid edit this and click those, and it'll send out individual text messages. Or I can click a button and send them all out. Either way that you can generate send out one or multiple. So I'm gonna click out send out one email. I'm just reloading my, my mobile app here. Sorry about that. Come on. Okay. Move this over here. Okay. So it send out the text message. Basically, what I'm gonna do is it's sending out a message to link to a Quickbase link. So basically what it's gonna do is it's gonna add a record into your Quickbase table. The same table that we're working with here, the current locations here. That's what it's gonna do. So let's just go in here. I am going to say I'm gonna enter in my oops. I'll choose shift. Color. So what I did was it entered a record into Quickbase. I'm gonna get the current location. So here's where I can capture the latitude and longitude of the person in the field. So let's say I have technicians that were out in the field and I wanted to look know where they are. So I could send that text message out to each individual, person out in the field. They would have gotten that link. They could have came in here, clicked like I did, and now I'm capturing their latitude and longitude. So if I go back to that quick base record and refresh, I see the latitude and longitude was updated. So that's one way to actually, gather some information from your field techs that that are out there. So let's close that. Let's move this out of the way. So one more thing with with maps I wanna show you is if I go to my QB maps, so now I've done this before at a couple different times, so I'm gonna click on a different Google map that's gonna show me all of the different technicians, and I'm showing data from another table, so all my locations, my job sites. So here's a map of my technicians and my job sites, and I can see additional information about them. So this is data that's stored on the QuickBase record. I can even click and view that record. But if I wanna kinda, you know, see maybe I wanna grab some driving directions from from this this series up here. So let's say I wanna map out something here. I can choose two different locations and just grab the directions that way, or I can enable multi select, and I can actually grab a bunch of locations. So let's say I wanna start here. So I wanna start with Todd. I'm gonna end with Todd. So I wanna so so this is I'm building a route for Todd. So I'm gonna get the directions here. So here I got this is gonna be all the way around, so it's gonna start here and end here. But you're not getting any real time data here. I still get some some traffic directions. I mean, I I don't have traffic information, but I have driving directions, and I I get distances and so on. But maybe with based on traffic, especially on Long Island, maybe this is gonna take a a a lot of time depending upon the route based on, the the traffic. So if I I can open this right in Google Maps now. So now I'm gonna get real time traffic data from Google Maps, and I can zoom in and I can change the route if I want to. So I'm now using the power of Google Maps. So maybe I maybe I don't wanna go to this location. Before this location, I can move things around here. So maybe I wanna go to Huntington before Garden City. Maybe I don't wanna go to Glen Cove until after I go to Huntington. So, again, I'm not messing around. I am in full Google Maps. If I'm on a mobile device, I get to take advantage of this on a mobile, but that's the benefit of our one of the a lot of couple of the benefits of our Google Maps extension. So I know I spoke fast, but I just I and I did that because I wanted to make sure I got all nine in. I got all nine in. So, now we're ready for questions. Awesome. Thank you, Keith, for the demo walking through all of that. So I am back, and I'm gonna bring, Sam back on stage as well. Before we get to questions again, feel free to keep submitting questions in the q and a feature. There's a lot in there, so we'll get to as many as we can, here live today. If we don't get to your question, we will make sure that someone follows up with you directly as well. A couple of resources as well before we, dive into those questions. So, one, we do have a free trial of extensions available right now for Quickbase customers. So if you scan that QR code there, it'll, go to instructions on how to get that trial started. You can either do that if you are an admin directly from your account, or there is a form for you to fill out for, additional help getting that set up. That does include all nine of those extensions, including those three new ones that we just released, and you can use that for thirty days. So definitely recommend trying that out if you have not yet. The second resource on this slide is, office hours. So we do have quick bit Quickbase office hours, but these office hours on the screen that you see here are specifically for Quickbase extensions. So this is a really great resource especially as you are getting started with the extensions package for, help getting things set up and all of that type of stuff. So those are Tuesdays, at noon eastern. So that QR code will bring you to a sign up link for those office hours. And especially if you have questions, again, that go unanswered today. And I know there are a few questions on here that I'm seeing that are, a little specific, like, to your Quickbase realm and your Quickbase instance. So I would recommend office hours, for that or connecting with your CSM to get that question, answered if you did have sort of that specific use case, for how you are currently using extensions. So with that, we have a bunch of questions here. We've got about ten minutes, so let's get to as many as we can. Let's see here. First question that we've got. Do we need to install PDF stamper to each table that we want to use to stamp, or can it be linked to one table and have it stamped with other table data? You can, typically, you set up each table to stamp because you you're gonna have a button on each table that you wanna click that will go gather the data that you need and and stamp it throughout the template. So it's typically you set up every table, and you can set up the same table multiple times too. Let's say one table has five different documents that you need to stamp. You can have five buttons or, which we we rather recommend, you put one button in there and then you vary the template and the file name based on the type of document you wanna create. So there's a couple different ways to do that, but typically, you're gonna set up multiple, you know, multiple tables. You know, if you you can have a master table though if you want. If you don't wanna set up every one, you can have a master table, and you're just gonna have to vary the template that you're using when you wanna generate when they click that button. Perfect. Thanks, Keith. And if I if I may too, Keith, when it comes to orchestration of, say, you know, trying to pull perhaps multiple, of these together, you could also use package builder to kinda bring all these together. Right? Mhmm. Merger and package building. Yes. Yeah. Mhmm. Awesome. Good call, Sam. Question here about, will the extensions replace the native quick based document generation? No. I don't the the native document. generation is gonna gonna live, and it it it's purpose built for more simplistic documents, maybe one or two page documents where you want something quick. It's part of your plan, so you're not charge you're not charged for that, so we're on extension side. You do consume the transactions. So maybe the simplistic documents, you can just use the native DocuSign if that really serves you a purpose. Excellent. Does exact forms have any sort of compression element for generating PDFs with embedded photos? It does do some some compression right now. It it's it it doesn't it doesn't reduce. We we worry about the quality of the images as well, so it it's not like a real file reducer. We do have another extension that is gonna be added to the bundles probably coming up within the next couple of months called resizer rotator. That one will probably do a better job of that, so you can kinda take advantage of that. But this is another good reason why you purchase the bundle because you get access to all of these additional extensions. So, but that that's not a that's not one of the nine right now. There is some compression. It's not the best in Xactimate Plus. Excellent. We have a question here about let's see. We have two integration type questions. So I'm gonna actually ask these together, Keith and Sam. I don't know for sure if we have, direct answers to these at this time. But, first and foremost, is Microsoft Copilot compatible with Quickbase to pull data? And secondly, what about SharePoint for those external file repositories? So Copilot, SharePoint, any info that either of you have around those. If not, we will have that as a takeaway to follow-up with those people. The Copilot piece of this, like, you're you're asking, like, do we have, like, an MCP, like, a connector so Copilot can kinda make calls into Quickbase? Yes. We do not currently today. And this question, realistically sits outside of what extensions, the extensions conversation. But I will say it is an item on our h two twenty twenty six road map. So, I mean, more to come with that. Right? So it's something that's on our radar. So, I'd I guess I'd say stay tuned for the time being. Yeah. On the SharePoint side, we we don't have any plans to save right to SharePoint from the extensions. There I I believe pipelines you could store to SharePoint. So you you could land it in a file attachment field and you can have a pipeline send it over. But right now, we don't have any immediate plans to to start adding SharePoint as a repository for files generated by our doc gen add ons extensions. Sorry. Another one. Got it. Thank you, Keith. Let's see. Juice sign question. To use Juice sign, is there another program that we have to use with the extension to allow customers to digitally sign the documents? Nope. Nope. The the u the UI is the the same UI that you're using inside of Quickbase. So we're you're sending out a link to the customers. They're clicking on it and open up the Juice sign UI so that there's no third party extension. There's no third party, product that they would need to download. It'll open up right in their browser. Perfect. When using courier, are you able to see the sent email in the inbox that you send from? No. It doesn't it won't do that, and that's, like, more config. It's kinda configuration, things on your back end mail server, and I don't think that's possible. We've had that question asked a bunch of times. So and and I don't think that's a that's something that we can do. Alright. Also on the vein of email, can you embed images inline in the email? Yes. And it really depends on where they're coming from too. So if you're using an image because, you you know, you can take advantage of the source the compute source and you can embed images. Depends on where the images are living as well. If they're publicly accessible images, then they can be, kind of, you know, using an image source tag downloaded into your your message body. But you should be able to it's like if you use our courier configurator inside of our cloud, the the extensions portal, you'll be able to add an image from there. Perfect. Can PDF merger be used if we are not using exact forms but are using the native quick based document generation? Yep. It it it'll take the documents whether they're generated by our extensions or not. Perfect. Yeah. And and more than just, you know, we mentioned, but more than just PDFs. It can be, Excel documents. It can be, Yep. image files. Right? Excellent. Same with PDF merger again. Let's see. Can PDF merger merge two different document types that are not already PDFs? Yes. Yeah. Yeah. Just that showed it in. a demo. And. My demo had two images too, so they were two different you know, it could be an image. It could be Excel. It could be p so it could be all these different document types, in one button click. You don't have to run it separately. I'm gonna so here's another PDF merger question, and I'm actually gonna table this. So Melissa, asked a great question about PDF merger. Melissa, I'm gonna make sure your CSM follows up with you directly, since that is pretty specific to your quick based realm, but we will make sure that someone reaches out and gets that issue solved for you there. Is the demo site available to use as a test app on our side? No. It's not. We've been thinking about this too as somehow making this available through the exchange exchange library and so on. We think it's a a value as well to have the app that I use as a demo here for other people to use just to kinda, you know, tinker around with. So, stay tuned for that. We're trying to see how we can offer something up that people can use just to test it out the way way I just demoed it. Excellent. How many records can QB maps display considering that native QuickBooks report is limited to showing the first a 100 records? I think we have a limit of 800. And and we could show more, but we kinda limit it like that because, you know, we we've had people throw a list of all report at mouse and pull thousands. And, you know, we are geocoding behind the scenes, so there's an expense that happens behind the scenes because we're using Google's APIs to generate, the latitude longitude, and geocode in each location. So we do put some restrictions on there. So right now, I I believe the default restriction is 800 or if it's not 800, it's 700. But, but they and it they render very, very quickly as well. So, you you know, you can certainly use couple 100 with no problem. Awesome. What's the recommended process for obtaining signatures from multiple individuals? What we do have right now, the there is a limit of 10, and I see that was Derek's question. I see it. So you do have 10. So you can send out the 10, and you can order it as well. So, we don't have concurrent signers. So if everybody if all of those 10 people need to sign, you need to have them in in a sequence, meaning one, then two, then three, then four. So the four won't get it until all three sign. So so we can have it send out to multiple twos and then try to capture both of their signals at the same time. That's like a concurrency issue, so we don't handle that. So you you'd have to have them in a separate order Awesome. sequentially. Thanks. We have a few questions. So I'm gonna go back to this slide super quick on the packages. We have a couple of questions, kind of around the different pricing and, the availability of those nine extensions. So just wanna flash this up here again to, help answer some of those questions. So, again, here are the three plans. One of the questions specifically was, yes. If you currently have a quick base extensions plan, PDF merger, PDF stamper, and package builder are all available to you now. So, yes, those are those are currently available. And then, yes, here's a reminder of the plans and what is included, in those as well. If if just to jump in here, Troy, if you were on the bundle and you were had the six and you sign in to the extensions portal and you don't see the other three, just contact your your your account rep and they'll make sure that they, they become visible. Yeah. We did do a pass to make sure that does that doesn't happen. But on the off chance that it did, yeah, Exactly. just let us know. Just in case. Right. Perfect. Perfect. And a pricing question here. What is considered a transaction in the tier pricing? That is a good question. I have a link for you. So, so so bear with me there. But, for example, Juice sign is actually a great example of this. One Juice sign pass, if you're trying to get 10 signatures, is just one transaction. So you're not getting a transaction for each signature that you're trying to capture. Same thing goes for something like, PDF merger. Right? If you're merging a bunch of, files together, it it's only one transaction. The I think the exception to that, perhaps, that kind of, pattern is when it come to package builder. So if package builder is having you generate a document merging and it's kind of using the other extensions, it is one transaction for the package builder. But any of the, additional, usage of, say, Exact Forms plus or, or or, PDF stamper, let's say, in the flow of that package builder, would, each consume a transaction as well. And. even maps maps in the old days, Juice used to charge for every PIN that we plotted, but the benefit here with the package is it's one it's one transaction. If you're showing 700 locations, it's still one transaction. Cool. Thank you both for the clarification there. We are a little bit over time. So we do have some questions that we will not be able to get to today. But, again, if your question was not answered, we will have someone follow-up with you, directly. So, be on the lookout for your CSM or your account executive to follow-up. Sam just dropped in the chat that link to the transaction counts as well. So, take a look at that for sure. Thank you, Sam. A reminder kind of on the screen of those resources. So take out that extensions trial if you haven't yet. Try all nine of those extensions. If you're already using extensions, you should have access to those new three, PDF merger, PDF stamper, and package builder. But, for some reason you don't, please reach out to your CSM and we'll make sure that that gets set up for you. Extensions office hours, Tuesdays at noon eastern. Definitely join those, see how other people are using extensions, ask all of your questions, all of that good stuff. And again, we did record today's session, so we will send that out to you via email. Be on the lookout for that tomorrow alongside some other helpful extensions resources. And with that, we'll wrap it up here. So thank you, Keith and Sam, for going through all of the extensions today. Thanks everyone for joining us and listening in, and have a great rest of your day. Great. Thanks, Thank you. everyone.
