Transcript for "How to go from App Inheritance to App Ownership": Hi, everybody, and welcome to our app inheritance webinar. In today's webinar, we're gonna be covering how to go from app inheritance to app ownership and help all of you folks who may have recently taken over a Quickbase account or a Quickbase application feel more comfortable with taking over as an admin. We're gonna give a cup we have another minute or two for folks to funnel in. But while we're waiting, I'd love to know a little bit about those who are joining us today. Are you new how new are you to Quickbase? How comfortable do you feel with your app building skills? Because that's what we're gonna be here today is helping you get oriented in your new account. And I also love to know, have you recently inherited a Quickbase app or suite of apps in our poll that I have live right now? So just as we're waiting for a few more folks to funnel in, if you wanna toss your answer in and let me know if you're the if you have picked up a single app, a couple apps, an entire account. Don't worry. Big or small. This, webinar is about giving you a couple of helpful suggestions for how you can wrap your arms around this change and get yourself more comfortable with, with your responsibilities as a Quickbase admin. Alright. I can see that we've got a decent number of people who've gotten a full account so far, and then a few a few a couple a pretty big group of people who are few apps and then a couple who are just an app. Like, they will hit every level, so there'll be a little bit of information for everybody. Yeah. Is it it is not uncommon. Sometimes people's first time getting into Quickbase is picking up some for somebody else who's leaving or transitioning to a new role, and they get to really, like, jump into the fire. We're here to help you with that. So this is definitely gonna help you get some advice and some tips and tricks that'll that'll allow you to get confident and feel like you are more in control. Don't feel so you don't feel overwhelmed. Alright. Let's see. It looks like we've got a decent number of responses, and we got a consumer of people who joined us today. So we can start diving into today's topic. I'll leave the poll open in the background, for a little bit while we're talking. You can find the poll, right next to the chat. You'll see there's options for poll. Documents next to it is where you can find links that are gonna be helpful for today's webinar, including our inherited app workbook we have available for folks that gives you some worksheets and other pieces of information that can help you get to, take control of your account. And then there's the q and a section which will be really important as we get to the, through the session today. We'll do q and a at the very end. So if you have any questions that bubble up, while we're while I'm presenting, you can toss them in the q and a and that'll make sure they're all ready for me when I at the end and I can go through them. Alright. So let's jump in. In today's session, we're gonna help you get a clear game plan for taking ownership of your apps. We have a, like I said, a workbook and a framework we use to help people get control of their new account, feel confident, feel like they know what to do next. We're gonna learn that all starts with learning more about how to understand your applications, your users, and Quickbase itself. And then we're gonna see some next steps taking even further with your inherited apps after our session and after that workflow. So as I mentioned, we have, our workflow we have a, inherited app an app inheritance workbook that I've attached to the documents, which is just above our chat in today's webinar. And it breaks it down into, four chunks of time. In our first one, thirty days, we look to get control, make sure that we aren't missing anything super important while you're just getting used to your new accounts. The thirty to sixty days, we're thinking about getting clear. We wanna start to unravel not just what needs to change now, but where did everything supposed to be doing? What is every app supposed to be doing? What every user whatever user is hoping to get out of them? And then in the sixty to ninety days, get creative. Now that you've got things you haven't got momentum going, where are there opportunities to take apps that maybe haven't had someone's attention for a little while or need to do new work and and build them out and be more creative and add to them? And then lastly, in the ninety days, that's just some advice on how you can stay current. You know, we're always updating Quickbase with new tools and opportunities. And as a result, it's really helpful to learn how you as a new admin can stay up to date so that anytime we need to create a new feature that'll save you time or unlock a new workflow, you can really quickly figure out is that for me right now or can I wait a little bit to learn about it? Alright. So we're gonna dive right into the first one to thirty days getting control. So what we think about getting control, what we really have to think about is and this can be a little counterintuitive for those of you who are brand new and have just taken over your apps. You wanna think about what is your organization's goals and challenges? What are they hoping to get out of Quickbase? Then you wanna get a little bit more familiar with your account itself. What this is really about is making sure you know of the apps you inherited, which ones need attention sooner, which ones can wait, is there something that maybe got missed, is there a resource on your account who can help you? That's gonna help us identify our top priority apps. These are the ones that you wanna start with because you always wanna start somewhere. You can't change them all at the same time. And then lastly, you wanna build your Quickbase fundamentals. So if there's skills you don't have in the Quickbase builder, if you haven't been admin or even a user before, this this is where we're gonna talk a little bit more about how do you build up those skills so that while you're learning what your account wants, while you're learning what needs what app need focus, you also have all the skills you need to address that. And so when I say start with your organization, what I'm really talking about is let's get down to the basics of what your account hopes to get out of Quickbase. There is like, what are your goals? You can look to other members of your team. You can look to the manager who recommended you become the admin, and try to figure out, like, what were you trying to do with Quickbase, and what do you think Quickbase is gonna be able to help you with? And then talk a little bit about the challenges that stand in your way. For example, if you're trying to update, process where you manage projects, you might talk to those team members and say, like, what are the things that drive them crazy every day? It could be in the Quickbase app. It could be separate from the app. Is it manual data entry? Is it repetitive data entry? Is it having to navigate, data sources that are in multiple locations? And that'll lead you into what processes drive your work. Where are you doing things in Quickbase? Where are you doing things in physical forms, in other systems? And that's gonna help you get a lay of the land. Then you're gonna know where your app plugs in, and you're really gonna start to learn where, you know, if you're lucky you inherited successful apps and people will be like, Quickbase is great. We use it all we use it in these ways. I really understand what I do as a user in Quickbase. Or you might get folks who say, hey. We were actually in the middle of still, transitioning over to Quickbase. I'm gonna need your help continuing that transition. And so that's really where you're gonna start to learn about the important things to do important goals for your account early on. And that will lead you into knowing a bit more about your account. So when we talk about our account, we think about, like, who's your account team here at Quickbase? The folks you can lean on when you need help or information, what resources do we have available for you, and then, everyone in Quickbase is on a plan. And what our plan does is it basically gives you a clear outline of what features and functionality you have available to you, how many users you can have in Quickbase at a single time. We wanna make sure if you're a new admin for an account, you know what your entitlements are, how much of Quickbase you have available to you, what features you have available to use so that you can make sure that matches those goals and all the work you've been talking about with your team members. Because the last thing you want us to discover that you need to onboard 50 people, but you only have 10 empty seats. You you might wanna then have to have a conversation about, like, prioritize and who goes first, what workflow goes first. And so first, when we think about meeting your Quickbase team, there are a couple folks that are, you're gonna work with fairly regularly or you might work, like, you might see occasionally. Your account executive is the person you would chat with here that handles your contracts and your renewals. As a new admin, especially if you took over account, that may be something that's coming up soon. That may be something you won't have to worry about for a couple of months. But one day when you get an email from these folks, just know that that is what they're gonna be reaching out to you is to talk a little bit more about your business's use of Quickbase. Then you have your customer success manager who, if you have a manager customer success manager assigned to your account, will be like a trusted adviser. They're there to help you answer the questions of, can I expand Quickbase to cover a new use case? Can I expand the way I think about using Quickbase? And I have questions and I need help. Maybe I need more support. That's similarly not everyone will have them, but part of checking out your account is checking to see if you have access to the services team. This is a a group of folks who are in our customer success organization that, are available to you to help with specific building, optimizing, integrating of your applications. You may already have these resources on your account, or this might be something you might be looking into if you find you need a lot of help with your new account. That is something that you can always talk to your account executive about if you discover that you really like our services and help. Next is our technical support team. They are the folks that you reach out to through our technical support cases. They are there to help you resolve product issues, in particular talking about things like, did you run into a bug? Is the feature not working the way you expected? Do you need some more help figuring out how to use the feature? These are really the people who can help you with some of the nitty gritty detail questions of Quickbase. And the last thing is the renewal specialist. Like I mentioned, if you are in the middle of your contract, you might not see this person for a while. But if you're in the middle of talking about renewing your account, this is the person that steps in and helps to coordinate everything and talk a little bit more about your renewals and your billing. And this is just a quick overview of some of the folks you might talk to from our org on a regular basis as you're figuring out how your account works and who you need to involve. And then let's take a look at your resources. So we have a number of resources available to help you build your skills and get comfortable in Quickbase. We have our Quickbase University that offers on demand and instruction instructor led courses. They also offer a certification program. So after you've had some time to build your skills, the certification program is a way to sort of test your skills and show that you have them. It's the, the seal of approval on your Quickbase skill level. It can also be really great for if you are a newer builder, you can use the certification to help you figure out what's the primary things you should focus on building up. Then we have our, community, our our crew that is a, online forum and a number of customer networks, which are regular meetings, where they invite folks in to talk about their their issues, share any of their challenges, and share their ideas. This is a great place for anyone who's new to Quickbase who has questions and wants to learn from other Quickbase builders and other experts. We also offer events and office hours. You can find really easy at quickbase.com/events or if you look up Quickbase events. There's webinars like this. There's other more specific office hours that are available. We cover a lot of topics. What's great is we keep a lot of that stuff on demand as well. So if you go back, you'll find that I've hosted webinars like pipelines one zero one, formulas one zero one, building your apps. I've covered a number of topics that you might not be worried about today, but in a couple of weeks or couple months, you might be like, I really wish I could go back and get some information on this topic. You can also find our online help, Quickbase help. We have tons of articles that are available that cover a all parts of our product. And this kind of you can think of this as the how to. This is the technical explanations of Quickbase. Then you can also reach out to our support team. And lastly, like I mentioned, we have our services to invite teams that can work with you if you realize that you need extra help. You wanna accelerate. You wanna go faster. The services team can really be there to help you with that. So you're an admin. You're in the role. You're probably wondering how do I start to get my hands around what's going on in Quickbase like I was mentioning before. You could do that by exploring the admin console. So you can find the admin console from your my apps page. You'll see a little if you're account admin, you'll see a little Quickbase in the upper right hand corner. If you click that and hit manage the account or manage the realm, it'll open up for you and take you to this admin console. You may have this slightly older version. That's why I have it up here so you can see it. There's also a brand new version that has a lot more information. It's a little bit cleaner and more modern looking. But this will tell you important things like what plan are you on, how many seats do you have filled or available. And you'll also see just below this is a section that will include the name and contact information for your account executive, if you have a customer success manager or something. Anybody else for our team assigned to you, they will also appear here in that admin console. It's really helpful just to get to know with what what what do you have available to you? What can you expect to be able to access? And if you ever find yourself looking at the plan and wondering what it means, you can always find our plan details on our website or reach out to us, and we'll help you figure out what those what those what you have access to. The next thing I recommend is when you're in that admin console, you'll see there's an option on the left hand bar that's menu bar that is permissions. This is a page that will capture everybody on your account who can create apps, who has full management rights, which means who else is a full account manager who can make decisions about or full account admin who can make decisions about your account and your billing. And are those people then able to help you get up to speed? This page also has a bunch of really specific permissions you can toggle as an account admin. If you are just an app admin, you might not have access to this, but you could reach out to any account admins you know and see if they can help give you some information. Maybe they could recommend other app builders who might be able to help you, who also create apps if you want someone to help coach you, share some ideas. But this is just basically a place to get the the specific details, like who else is active and working in your account if it's not just you. It never hurts to double check. Even if you think it is just you, you might discover that there's someone in there you didn't realize. And then next, you can go to the apps tab just above permissions. And what this will do is as an account admin, this just gives you a clear view of all of the apps in your account, what they are, how big they are, who their manager is, which can be really helpful. So if you realize, I know one of the things we have a problem with is a really important project management app that needs tons of attention. I can look and see that app manager is and reach out to them and email importantly if you realize that that person is the admin who left to replace you. You might use it as an opportunity to be like, I need to take over control of this app because it doesn't have anybody else. You can also look at its size, its usage. And if you find yourself thinking, like, this is a lot to parse through, don't worry. It's exportable. You can actually export this if you'd like. And what I've done before in the past words with folks is I've just used this to make a Quickbase app. I've uploaded that spreadsheet back in to make my own to help people make their own little project manager so they can use it to take notes and capture more details as they work on these apps. And you can even rate them and say, like, I'm gonna do a priority rating on these apps. And over time, I can start to piece apart which ones matter, which ones can maybe be deleted, which ones need some love and updating. But But it's just a great way if you wanna, like, break into this information, have a a little workflow for you. And then one of the things I recommend while you're in there, also keep an eye on any of those apps that are marked as public. What that just means is that the app at some point or another had a role called everyone on the air a new user called everyone on the Internet invited into it. And what that means is that in some way, shape, or form, you are using that app with users outside of your company. It doesn't mean it immediately appears all over the Internet. More of the way it matters is if somebody takes a link to that app, you can send it to an a user, a vendor, somebody a customer, and they can use them. The real most commonly, we use them in cases where people wanna submit a support case, submit a PO, submit a vendor thing where they would be dropping information off but probably not viewing it or to allow them to view a very specific set of information. Perhaps you have a, like, public facing event calendar that you put in the Quickbase app. These are just good apps to know about as they will help you get attention on ones that, like, that are facing, that maybe your customers are using, maybe your vendors are using. I always say give them a little extra attention and make sure you know what those apps do. Because what you're gonna wanna do once you kinda have that list of apps on your account or if you just have that list of apps in front of you because you've inherited a couple of apps, there's some factors to consider. You wanna prioritize them. How big are they? How much are they used? Do they have a lot of users? Are they a large size? Are there, is the current manager an active member of your team or an inactive member of the team? Like, a great example here, I have a little table. My customer service app has a smaller number of users, a smaller size, but it might be a higher priority if Kelly, the manager who's listed, left the company eight months ago. I might immediately be like, I need to at least know what's going on in that app because Kelly, I know, left quite a while ago. That means no one's really been paying it a ton of attention. Or I might be like, oh, order management is the most important use case I have for Quickbase. I need to make sure to button it up. I wanna make sure that it's running smoothly because that is something that sees a lot of traffic, and is really important to us. And so that's just how you think about breaking the work down for you. It might be tempting to say every app is important. I always like to think of, like, there's always the one. There's always one app where you need to start. And if you know that and you can articulate that to the rest of the users that you have on your account, that can really help you get momentum and free yourself from the crap of thinking, like, I need to click between seven different apps every morning and panic a little bit. And so from there, you know, you can start to build your plan. And in particular, if you realize that one of the things that you are concerned about is your account maybe is very big, you have a lot of users, and you wanna get your arms around managing the account, managing the users. You can also, build up our governance core. We have a series of what we call their governance core apps. They're available on our exchange. And for anyone on a business or enterprise plan, you can download these apps, plug them into the, what we call our admin console sync where it pulls that information from the admin console and puts it in the Quickbase app for you. There's three apps, and they basically can help you get insights into how much your accounts are being, how much your apps are being used, how am I add how many users you have. It it helps you expand your insights as an admin. I don't recommend this right out the gate if you are a smaller account, but I highly recommend it if you have any concerns about your users. If you realize you've taken over a big account, you really need to make sure you understand who else is in here. This is a great opportunity to, like, enhance the work that you're doing. Alright. And as I mentioned before, if you find yourself at this point having prioritized, having gotten a better idea of your account, If you're panicking a little bit, don't forget services is always an option as well as our university is an option to help you get pick up new skills. You know, it helps you break down into learning paths where you can follow and gain the skills you specifically need one step at a time based on the apps that workflows that you have prioritized. So now I have to be a little bit curious. Having heard some of this, how confident are you all feeling right now? Let me see. And get a better do you get a better idea of do you feel comfortable using Quickbase? For the group who's here today, are you just getting started and you need to build up your skills? Do you feel pretty comfortable using Quickbase in a day to day? Are you a pro where it's not a surprise that you took over the account because you are the right person to do it? Just trying to get a vibe for how everyone feels today. If you if you could get your arms wrapped around understanding what your company wanted out of Quickbase and who is using it, do you feel like you'd have the tools to address them, or do you feel like you you probably need you probably need a little more support to get there? I'll give everyone a minute to reply. Alright. So we got a few good replies. See, a lot of you are feeling comfortable with the idea. That's great. For those of you who are looking to build your skills, I definitely have recommendations for you as well. I we started at that high level up in the account. As we go forward, we'll get down into the nitty gritty a little bit more. We'll move past that high level, that high level look at the account and get into some more specific things that you can do. Alright. So if you find yourself in the, just getting started need to build my skills category or if you, you feel comfortable using it day to day, but there's a specific skill you haven't learned yet, I would recommend taking a look at Quickbase University. I mentioned it before, and I have it linked in the documents in the upper right hand corner. You can find live training, certifications, on demand training. I highly recommend that you take a look at it. It is a in particular, if you've never built an app before, there is a quick start sash or quick start track that is a learn how to build at your own pace. It takes about an hour to build your first app. It is a great way just to say, like, I'm not gonna worry about fixing an app that exists. I'm gonna start from scratch and just learn a bunch of the skills. No pressure. No worry about breaking something that already exists. This is just about building up my knowledge about where what are the pieces of Quickbase and how do I make them move? How do I make them flow? And then next, if you do decide you wanna click down to another level and really dig in, there's a couple of instructor led workshops that I would recommend. They are paid seats, but they, are smaller classes, more focused on you. They kind of walk through step by step with you. Galactic App Ventures, kind of like that quick start, is just about diving in and being like, let me build, let me build now. Let me learn these skills, and let me build them up. We have an end user reporting section, which is all about creating useful reports and charts so that you can take all that data that's locked in your Quickbase apps and level that data up, get insights, build reports, charts that are easy for your team to use. This is great if people are telling you that they've put a lot of data in Quickbase and they have no idea how to get to it. And then lastly, there's our sweet connections. That is all about learning how to build table to table relationships where it's at the heart of what makes Quickbase, Quickbase. Alright. So that's my recommendations for if you're in that early stages of learning Quickbase and feeling a little overwhelmed. So let's talk a bit about you've gotten through the first thirty days. We're just sort of you're gaining the the groundwork you've learned. Maybe you've done that faster. Maybe this is something you've done in a couple of days. Maybe you already have this information. Where would we go next? Well, from there, let's let's dig deeper into your priority apps. Let's learn why like, what in your priority apps, what makes them tick, and what can we do with them? And then let's also continue your quick based education. Let's take you to the next level, if you have some more skills you need to hone once you've realized your you're interested in your priority apps. So as we're digging deeper into your app, what we should do is let's we pick one of your priority apps. Pull it up, Get on the dashboard, take a look at it, and ask yourself and your team, what was this app built to do? What was the intention of this app? So you might not be surprised to learn that the original intention of this app was something fairly simple, but maybe it's been added to over time. Maybe it was originally supposed to be a CRM where you were just gonna track your customers, but then you started tracking specific activities you're doing with them, project you're working on, expenses, POs. You might be realizing that, like, an app started fairly simple and got complex, and that can help you understand why it's a priority and also what needs attention. You also can look in the app itself and figure out how is it set up. How is the app itself built? If you're lucky, it'll be fairly clean and clear. As I mentioned before, there's there's relationships in Quickbase where, like, a project's table might be related to a tasks table, and it might be that a project will have many tasks related to it. It might get more complicated. Knowing how it's set up will also help you figure out, like, if I needed to maintain this app, does it need a lot of attention or is it a light app that needs a little bit attention? And then lastly, how are people using it? Ideally, same thing. They will know exactly how they're using it. They'll say I go in every day. I go into this projects table. I look at my projects. I update any of my tasks for that project when it's done. I mark it as done. I have it as complete, and I send and that sends an email over to my boss. Or they may say, god. I really wish my app did that. There's places where it is complicated. There are workflows that aren't automated so that I have to sort of hunt people down. Like, I can tell you right now, you shouldn't feel like every time a project finishes in Quickbase, you have to go hunt somebody down to update them. You shouldn't feel like after you put data into it, you can never find it again. Those are things that we can absolutely, you can actually narrow down, fix, and make better. Centralizing your data should allow you to make it easier to see it and take action on it. And so, you know, you might be thinking, okay. Well, how do I break it down? I don't know what the app does. So I would say, like, understanding its original design design intent is kinda where you start. Every app is supposed to solve a problem. Problems evolve. Your action evolves to match them. Sometimes that evolution can cause them to become a little chaotic, but understanding my app was built will help you see if it still meets your today's needs. It is not uncommon people to say, you know, we built this app a year ago and it was working really well, but maybe we added a new team. Maybe we have expanded the team and there are now more members. Maybe we've started to take on new projects that are different, and that means I need to add something more to the app to help the app fit those specific needs. You can kind of what I've sometimes done is just taken the app, put down one side, what was its original intent, what has changed, what do people think they still need. And you can do that often by talking to the people. If you're an account admin, maybe a priority app isn't one that you have to build, maybe you're lucky and it already has an app builder. You can chat to those apps and add those those builders and say, like, what are you using your apps for? Why did you build it? What need help do you need? You could talk to the other admins on the account. If there's other folks who are long term account admins, you can say, oh, let me get let me dig into, how how is it useful? Where does it fit in our plans? You can also talk to the stakeholders. These are the folks in your teams who care about these apps. They could be project managers who use the app to help them track the tasks from their individual team members or their own tasks. And then your end users are basically the folks who really think about just using the app. App. They aren't building it. They aren't managing it. They aren't managing teams in it necessarily. They may instead be going in and just updating their work every day. Oh, I have I talked to a customer. I'm gonna go into the customer's table. I'm gonna add an activity that says I reached out to Stephanie on thirty first, and I wanna make sure that I log what happened there. You wanna make sure that all of these folks give you a bit of their perspective. They I do like, it really what if you find yourself unsure of who any of these people are, one thing you can do is head into an application, and you can look up the role, end of your users. You can find this in the app settings. There's a roles section. Every role you see on this list represents a specific workflow that someone built in the past. Most of our apps, we give a default. Like, there's an administrator, a participant, and if you were role, people add custom roles from that. So you can find out okay. What is the administrator role? What is the team view role? What is the viewer role? You might make a little list of them for yourself and then head over to, the users table of your app and then see who actually sits in those roles. And try to find one or two people from every role that you can have a quick chat with. It doesn't have to be super long, but you can just kinda go in and say, like, hey. I'd love to know as a, as a team member, what do you do in this app? Or as a fellow admin, what do you do in this app? And that can be really helpful because you can find anybody who has a role that has been given admin permissions. And you'll see there's a little app level permission section, the admin section. The admin role means that they are also in there changing the app editing it. They might not be the manager who left, but they may just be another builder. You can then go to your, user table, filter for those for this role, and find them. And And if you're lucky, maybe you find somebody who has a lot of information or you might find some people who shouldn't be admin that you wanna kind of, like, restrict and close downs that you make sure that, like, an application isn't getting rogue updates. Or if you're the only admin, you know, you they might be that you're on your own. But all this will do is we'll help you find the folks you should be chatting with. Sometimes people think that when I say chat, I mean have an hour long meeting. Sometimes even, like, a quick ten minute check-in can really help you get a bit of a a perspective on where your app is how your app is being used and where it's going. And then if what's also really interesting to check out is each of these roles typically has a home page that is like a dash the dashboard of your app, that first page you see when you're on the home that's full of reports and buttons and things that are help you you power your app. Sometimes all of your app all of your roles may share the exact same view. Sometimes they'll have different views. Sometimes opening these home pages up can give you an idea of what that view what that that role was doing in your app. And, ideally, that home page should match their needs. If they're a project manager, they should have reports that show their projects, their tasks, their statuses. If they are a salesperson, they should have a sales dashboard. It should have leads. It should have opportunities that they should be pursuing. And that's a really easy way if someone tells you that they find it hard to use their app to say it does their homepage match what they think they're should be doing in the app? And if those two things feel very different, if, say, for example, you have a sales team, but there's a sales team member saying, I don't know how to use this app, and you go and look at their homepage and realize it's full of, like, task updates that are supposed to be being done by your product team, they probably have the wrong dashboard. And those are the easy wins that you can make to make it easy. Exactly. Yes. As Steven mentioned in the in the chat, if it's if your end users honestly say to you it's not working, you should definitely dig into, like, is it something that needs to just be updated and changed, or is it something that they don't feel like they understand? Typically, people can articulate if they're just frustrated because they don't get it and they don't know Quickbase or if it's that there's something missing for them. But you can you there's a lot of opportunities to build workflows better. And so that and that all comes at the like I said, at the end of the day, talking with those users, asking them directly. What do you do in the app? How often do you use it? Is it easy? Why or why not? What do you wish it could do? You can even send these things to people in Slack and have them send you some thoughts back so you don't have to put anybody on the spot. You don't have to take time out of your day for it. And like I said, I recommend getting at least one or two people in every role that you have, just to get a perspective on, like, is there something that you're missing? If you're lucky, you might hear from some of them, and and if multiple of them say, oh, this is great. Like, I'm actually fine right now. That can help you take that app and slide it down in your priority list, and you can kind of brush a little sweat off your brow and say, like, you know, one one thing down. So that's a little bit of how to figure out what people feel about the app. On the flip side, you may wanna learn a little bit more about the structure of the app. And so, you know, you might look into the structure of the application. You can go into an application, select the settings, then the app settings that appears in the upper left hand corner, then select app management, and you'll see an option to show the relationship diagram. What it will tell you, how do these tables relate? For example, in this instance, in this example I have here, I have a customer's table. Customers have projects, more than one project or maybe one. It could be one or more projects. Those projects have expenses. They have documents. They have tasks. And those tasks have time cards and team members who are also working on those time cards. That told me a lot about the intention in my app. When you look at one of these diagrams, think of the arrow as whatever direction it points, that is a customer has one or more projects. A project has one or more tasks. And I'm glad you answered that asked that question, Steven, if if you are, maybe Stefan. What if it looks more what if yours looks like spaghetti? You aren't alone. Sometimes it'll look like this. Sometimes it'll look insane. I recommend, if you find yourself in a situation like this, one of the easiest things to do, it's alright. Good. That's Steve. I will I will remember that. One is to come in here, there's a little option appears at the top that says turn off relationships. When you click that, it will turn off all those arrows. And you can kinda do a quick check after talking to people, find the tables that they said that they cared about. And then pull anything that's not on your list at the very bottom, pull everything that you care about to the top, turn the relationships back on, and see if that's more digestible. And you can start to all of the the way everything lays up on the page is is customizable. If you click on something, you can drag and drop it. You can move them around, and this could be a way to, like, untangle the web. If you still find it feels a lot like a, like, one of those red string boards you see in a TV show where they're trying to solve a murder, then maybe you wanna simplify it a little bit. And you might want to go back and, like, build your own relationship diagram. You may wanna sit down and say, like, I know what people care about the most. They care about customers and projects. I'm gonna list the table. I'm gonna write down the fields that I know are important in it, and I'm gonna map what data moves between them. I'm gonna go one by one. So in customers, I have customer name, title, phone, email. That's related to my projects. Here's what's in the projects. And I can write down the what you can notice here is, like, what am I moving from the customer table down to the product table projects table? Now I have a better idea. And if you kinda do that one by one, you can build yourself your own diagram, add your own notes, use your own information. And some of what you do is you say, let me skip a few of the tables that I know do something important, but, like, it's too much to try to fix all of them. I'm gonna capture a workflow. I'm gonna capture a thing that I need to pay attention to and fix. And that can help you start to break it apart. What else really helpful is if you get a diagram like this, you can sometimes use it when you're chatting with folks and be like, I understand that this is how this workflow works. And they might be like, oh, yeah. This is absolutely the way it works, but, like, none of us use expenses. No one has used expenses in a couple of months. And you can say, okay. Let me remove expenses from my diagram. Like, I'll get back to it. But in my first, thirty to sixty days, I'm just trying to get up to trying to fix the things that need attention right now. I I'll I'll save it for later. And then, beyond this stat, there's a number of our application applications that could have integrations or automations. These are things that allow you to simplify your work your data entry and, data management. It you could have, an automation that says every time I add a project, add a couple of standard tasks to it. Every time I add a customer, I wanna also send that I wanna also send use the integration to send that customer's information to my Salesforce account. You can find out which of your what app what connections your app has by going into the app settings and looking at connection central that appears in the advanced features bucket. And what that'll help you do is it'll take you into what we call our our, connection central, where you can see what pipelines or automations and integrations we're using and what syncs we're using. And syncs are just where we pull data one way from a source. So, like, I wanna take a Google Drive and pull in all the information to make a Quickbase table, and it will fix it'll refresh itself either manually on a regular schedule. Everything like that should be listed here. It might be that you'll open connection central up and find nothing. It might be that you'll find a lot of things, but this will give you information on what is actively being connected to your app. So if there's ever anything that it feels like, I don't know how this information gets here, no one's putting it in, might be an automation. It might be an integration. You can find out more about it here. It sort of pulls the, curtain back so you can see what's going on behind the scenes. And you can also see if anything shows up as being, showing error messages and have not working. And that could explain if someone tells you I used to get information, but now I don't. Many of these integrations and automations tend to be built and owned by a user. If a user has left and used to run a bunch of your account, it might be that when they got turned off or deactivated, their, their automated workflows might with them. And you may need to either work with another manager on the account to get them moved over, or you might need to just recreate them if there's something simple. But that's and that's a little plug on, like, how you can learn more about the, the automations integrations taking place in your account. It's not on this one because it's a recent ad, but there is in that same category of the advanced features, if you go further down, there's also you're also gonna find an now a app audit log. That is a newer more recently added feature that allows you to see user activity in your account. That will give you a little more detail on, like, who's editing records, who's updating records, what are they doing in the Quickbase account? Right. Alright. And then if you you know, now you've got a little bit better idea of how your app is built, what it's doing. You can think about is there, one of the things we can start with is if you really feel like you wanna build your skills. As I mentioned, Galactic Adventures will cover a lot of that early stuff. And we also if you if you find you wanna keep building, we have a couple other, in instructor led trainings that can be really helpful. Best dressed forms will help you change the data entry forms you should be learn how to change the forms where people enter data. For our formulas, we'll help you do things with your data by using formulas, simple things to add and remove, dates, do mathematics, colorize statuses, make things prettier and more easy to manage, importing and exporting, and then spy analytics helps you build dashboards and reports for those users. So if you find yourself with a lot of users saying they need better reports and you don't have the reporting skills, don't worry. There's options available to help you with that. So now let's move into our sixty ninety day. Get creative. Is there time to now that you know a ton of stuff, align on the ideal state, decide on changes, update your apps, and learn advanced functionality? So what we can do is kind of, like, to work with your work with your users to shape a future state. Ask together what would make this app easier to use? What could be automated? What could be, simplified? And what changes would truly delight them? Sometimes it's simple. Sometimes people have little things they wanna change. Great example might be that if they have a very long form that's full of a lot of fields, they may say I don't need half of these to be on here every day. You could change their version of that form to be simpler. You could build them a report that shows for me with projects, I always change my own build my own project report to show everything, week by week for due dates, and that helps me just know where is everything going in my week to week. And if you need a little help with that feedback, there is, you can collect feedback in a pretty simple way. We have a feedback app that's available on our exchange that you can just download and you can start inviting users in, and it allows them to basically submit feedback tickets. They can tell you what app they're working in, what feedback they need they have for you. You can use this as a way to think about what you need to change today, but also what you could enhance in the future. When you think about getting creative, this is where you start to source ideas without having to have a standing meeting, have a Slack. You can link away to this on the dashboard of all of your other apps. You could pull a button in that says, take me to feedback. They can drop a quick note and say, like, hey. This report doesn't work for me. This is driving me crazy. And then as you're thinking about those ideas, like, don't miss out on new features. And I say that as in some of these features have been around for quite some times, but people don't always think about taking advantage of them. Depending on your app's age, you might not be using the pipelines which allow you to integrate and automate. You may have been using older dashboards that aren't as dynamic and aren't as interesting. You may have not used AI at all so far, and you may be using older reports. We have, launched newer type report types. We've made them better In particular, as a you probably if you've been an admin with Quickbase for a little while, you probably heard that we're in the middle of designing and develop developing brand new grid reports that are going to be a lot more intuitive and easy to use for those users who are familiar with the spreadsheet experience. They're gonna enhance our existing reports that's coming soon. These are opportunities to really, like they simple simple updates like that might make your life so much easier without having to do a lot of lifting. And so but you've kind of gone to the place where you know a little bit more about your account and your apps. Now it's time to compare your ideal state versus your current state. You can take that diagram you made already that you've started to think about your app and start diagramming the ideal structure. Maybe you wanna delete an old table. Maybe you want to add a new table. Perhaps you wanna rethink some of the way things are set up. Maybe add new fields. You've realized that your customer table you never put what plan they're on. You would now you can add a plan field that would allow you to then know, you know, are they on your yearly plan? Are they on in are they on a monthly plan? Capture data easy and simple. Then you can compare it to today's state, spot the gaps, spot all the things that are missing. And then also importantly, like, if you put a couple of those ideas all down together, you can just you can spot scope rate, which is when your app suddenly starts doing things you never planned. You're planning changes that you're not sure you need today. You can put them in the, like, later book. You can start to say, like, this is things I wanna get done in the next month. These are things that I wanna get done in the next quarter. Sometimes things are not no. They're just not now. And that can be really helpful too to, like, take away that that feeling of stress. Like, everything has to happen today. And you can make some decisions around if you see take that visual ideal state in your current state and realize they are so far apart. You can make the decision between do you keep your current map, less changes, familiar data, faster adoption, everyone knows where to go, it just needs some love, or do you start fresh? Hey. Honestly, this this app is very old. It has a ton of data that isn't really relevant to us anymore. Let's start with a clean slate. We can copy the app without the data. We can rebuild it. We can do other things. And that's when you can also think about, like, once you made that decision, how do you edit with confidence? You can make a copy of the applications so you have your own testing ground to try things out and see if you break it, if things don't work anymore. The one, flag I will throw out is if you copy an app, you don't get the automations, and integrations automatically. So if there's anything if there's a lot of those, you might have a little trouble. You could try our solution versioning if you're on business or enterprise plans, which allows you to essentially copy the scheme or save the schema of an app. So if you make changes and move things around, you can then revert back to previous. We have a sandbox available on our business enterprise plan that allows you to test in a test test environment. And then lastly, if you if you really don't know if you feel comfortable or have the skills to edit on your own, services is available to help. And when you're in this area, you may be thinking about some of the advanced trainings on not just how to edit and make forms look better, but, like, how to really make them look great, how to start doing the automations and integrations yourself with internal pipelines, how to build formulas that are more advanced. And then as you're building up this training, leaving you with the last thing, which is, like, staying current. You should still be making sure you stay informed and maintain processes after you hit that ninety day where you have your apps and account figured out. You have a body of work that you know you need to go out and do. You wanna keep building a continuous, a culture of continuous improvement. We recommend you subscribe to our release notes, attend our webinars. I host a feature focused webinar fairly regularly where I talk about what's new and why you should care about it. You can also join our crew, like I mentioned in our forums and also in our crew meetups where we meet regularly to get to know other builders, have a shoulder to lean on. If you find yourself frustrated and you just need a second opinion, We do it internally all the time. I have plenty of other people here at Quickbase when I'm building something new that I go, I need a sanity check. Does this make sense? Gather your back in your end user feedback. And when you've gotten past the the point of needing to fix a lot of things fast early on, set up a cadence for reviewing your app. Say, hey. This is an important app. I should check-in with the users once a quarter or once a month or every two months. And sort of keep yourself honest by checking back in regularly so you can keep optimizing and, building your apps. And if you have no documentation on your apps and that was really frustrating for you when you took over, think about making a simple document about what what you learned. Take that structure that you wrote out that was the diagram of your app and attach some notes to it and save it somewhere. Make sure it's available for the person who takes over for you. And so, like, now what? Probably wondering with all this information. I recommend if you're thinking about checklist of things to do, download the inherited app workbook. It goes over a ton of what I talked about today. I had to breeze through a lot of it because it was so much, but it'll gonna be a little more of a reminder. Take advantage of Quickbase University and its resources. If you really wanted to hone your skills, think about getting certified. Review your apps. Create an end user feedback loop. Document your learnings. Train others. Eventually, when you feel confident and you feel ready, don't forget there's always an opportunity to bring somebody else in to help you be a builder so that ease that even as you grow, you don't have to hold on to everything when you're building new apps. I saw that David mentioned that no one in the org has an admin access. I would recommend if that's the case, and you feel like you need more access, definitely reach out to Quickbase because, you know, we we we as a company always want somebody add an account to be an admin. That's really valuable and important for us because, you know, you know your business process better than we do. The person you're working with may not have realized that the person that they were working with previously who had that admin account had left. So it might be a good reminder just to say, like, hey. I I I need more help. Or perhaps in the past, you worked with one of our partners, and they may be managing your account for you. Even when you're a good partner, I recommend somebody at your org should probably think about being an admin just because then you know what's going on. Let's see. Great question, Matthew. Yes. Sometimes, like, how to learn, if you find yourself looking at your apps and thinking, like, all these are super important, I don't wanna break any of them, go to the exchange, which is available in your account. If you click the little waffle menu on the upper left hand corner or yeah. You'll see a little I see an option called exchange. Go in there and grab an app. We have, the project management app. We have a bunch of different use cases. Grab one that's close to what you wanna play with. Download it. Break it, change it, use it. I, to this day, have several Quickbase accounts, apps that are just full of random things that I've built, ideas I've tested out. It makes it so you can remove some of the stress of, like, I don't wanna change something working. I don't wanna change something that will mess somebody else's view up. Make sure that you just have a place that you feel comfortable making changes. And if you've been a long time customer, you may remember at one point, we we tracked how many apps people had. It's not gonna be worried about anymore as part of your entitlement. So, like, don't feel like adding another app is somehow going to change your Quickbase billing. We we there's not something to worry about. We'd rather you have an app and have some space to test test out what you're looking for. I see there's another question from Wayne. Some of the other question you answered, I was given an account told to run the app, but the account given is not an admin. Yeah. I would say, if that if that is the case, if you know somebody on your account who is the account admin and you need that level of access, go to them. Have a chat with them. If that person is gone, which does happen sometimes times and it can be a little frustrating, reach out to our support. There is a process where you can take over the account. There's some paperwork you have to do just to be, on the safe side, but everything we do after that, we can help you get that access, so you don't feel like you are trying to figure out the Quickbase apps that you have in the dark. Alright. Let's see. All the questions I have right now. But yeah. And I only people with, like, just the reminder, like, you're new to Quickbase. The last thing to do is to feel like you, are overwhelmed and you shouldn't do anything. Get a test app, try it out, change things, reach out to support. Also, if you're in Quickbase and you just want some simple help, if you look at the top bar, there's a little sparkle that we call our AI sparkle. You can find a bunch of our AI tools there now. We have, AI spreadsheet import where you can take a spreadsheet you already have for your company, import, and then we'll use that spreadsheet to try to build you an app that fits that workflow. That can help you practice on real data that you that makes sense for you and your business, but it's separate from all of the other work your company is doing, so it's a safe space. Similarly, is options there to help you build reports. There's a bot that will help you search a specific question through our help documentation. There's a lot of stuff there. And then there's always our technical support team who can help you with some of the technical questions you have and our crew and our community that can really help you explore ideas. Alright.
