Transcript for "Time to Pivot: Pick up where spreadsheets fall short":
Hi, everyone. Welcome to our webinar today, Time to Pivot, Pick Up Where Spreadsheets Fall Short. We are going to give people another minute or two to join, get connected to audio, all that good stuff. So we'll begin in a minute or two here. But, while we wait, we're always curious where people are joining the webinar from across The US, across the world. So drop in the chat feature where you're joining us from to get us started. And then just hang tight for another minute, and we will get up and running here. Alright. Looks like we've got a good group of people. Some people are still joining and getting connected to audio, but we will dive in for the sake of time. Keep dropping in where you guys are joining us from. Always love seeing that. See some people outside of the country, see some fellow Midwesterners in there. I am located myself in Minneapolis, Minnesota. That's where I'm joining us from today. So here we go, though. Let's talk about spreadsheets today. We are here to talk about time to pivot, which is kind of our new product launch and features that we just announced earlier this week. Before we dive in, just some quick housekeeping items for everyone. This session is being recorded, and we will make that available to all of you after the session. So if you need to share it out with anyone who might have missed it, if you have to hop off early, just wanna revisit the content, that recording will be available. Usually takes about twenty four hours from the end of this webinar, so stay tuned. We will send that via email tomorrow as soon as that is ready. So, I know I saw a couple of questions in the chat about that. We are recording this session for you guys. So, again, be on the lookout for that via email tomorrow. Couple other things. We, of course, will be sharing some new Quickbase features, talking a little bit about spreadsheets sharing data, but we wanna make sure that this is really interactive with all of you. So there is a q and a box as well next to the chat. Feel free to drop questions in at any time throughout the webinar. We will have time for questions at the end of the session, and we will try and get to as many as we can. But we also have some of our product experts, kind of in the backstage of this webinar who will be answering some of those questions in the chat real time as well. So ask those questions at any point throughout the webinar. Again, we'll kind of answer a lot of those, live at the end, but, we wanna make sure we're answering as many as we can. So drop those in at any time. And finally, we are going to be running, some real time polls as well because, again, we wanna get some feedback, and real time insights from all of you too to help kind of guide this conversation. So you will see some polls launched throughout. We'll prompt those and just answer those, to the best of your abilities. So, I am actually gonna launch the first one here to kinda help guide us. First question for you guys is, how does everyone feel about spreadsheets? So let us know how you're feeling. You love them, you hate them, you don't use them. We wanna know it all, and we will get started here. So the team today with me, I'm Charlie Kleiner. I am a marketing manager here at Quickbase. I oversee our customer marketing. So I'm really responsible for working closely with our Quickbase customers, letting them know about new products and features and seeing how they can get the most out of their Quickbase account. And I'm super excited to be joined by two of our, product experts here today. I'm gonna let them introduce themselves, Ryan and Devi. Ryan, I'll let you introduce yourself and say hi first. Yeah. Hey, folks. I'm Ryan Murray. I work on the product management team. I've been at Quickbase for a little over a decade now, and then I'm super excited to show some of the new capabilities that we're releasing. Awesome. Thanks, Ryan. Super excited to have you here. And, Devi, do you wanna introduce yourself? Yeah. Hey, folks. I'm Devi Simeonov. I'm a product manager, part of the core features team in Quickbase. I joined the company a little over a year ago, and it's been so exciting. I've every day I've seen new stuff, so I'm excited to show you some of that today as well. Amazing. Thank you. Thank you. Excited to have you here as well, Devi. And let's dive in, everyone. So quick agenda for today. Here's what we're gonna be talking about. We're gonna kind of go through, explore a little bit how, spreadsheets are being used today and how they might be holding your team back. Then we'll talk a little bit about streamlining those spreadsheets and how to uncover insights from them, and then take a look at those new click based features that, we're launching to help really turn that spreadsheet sprawl into success within your organization. And looking at the poll results here, I'm gonna actually share these really quick on the screen, how everyone feels about spreadsheets. Most people are kinda saying, like, they get the job done, necessary, evil. Bunch of people in the, chat are saying on a love hate relationship, which we totally get that. Right? I use spreadsheets every single day. So totally understandable there. But let's dive in. Let's get real about spreadsheets. Let's talk about this, you guys. Little background on spreadsheets. Again, I'm sure everyone kind of knows what a spreadsheet is first and foremost, but they were introduced in 1979. So pretty old tool. They've been around a while. And as of 2025, spreadsheets have over 2,000,000,000 regular users, which I think a lot of people on this call are one of those 2,000,000,000. I myself am a pretty regular spreadsheet user every single day. I'm not here to necessarily tell you that, you know, spreadsheets shouldn't be used, spreadsheets are terrible, anything like that. But I am going to launch us into another poll really quick because I am curious how often all of you on this call are using spreadsheets, whether that is multiple times daily, once daily, few times a week, anything like that. Let us know on that poll to help kind of guide this discussion here. But, again, as you can see with these numbers, over 2,000,000,000 people are using spreadsheets. Again, I'm not gonna tell you they're bad or there's no use for them. They're a pretty crucial tool in most people's businesses and their day to day work. But I think we really do need to, you know, be realistic about them in today's day and age and talk about how they're actually impacting work every single day. So, again, we're asking all of you kind of how often you're using spreadsheets. It is really, really variable, but a lot of people are definitely using those every single day. When surveyed, nine in 10 workers are actually using, spreadsheets multiple times per week in their day to day work with over half working in spreadsheets daily. Again, I myself am one of that 56% using a spreadsheet every single day. But, you know, since 1979, those spreadsheets have just not really changed. So you can see on the screen some quotes from Quickbase users who we've talked to who were experiencing issues with spreadsheets and then brought those processes onto Quickbase. So you can see kind of recurring themes. You know, with spreadsheets, there are often issues like disconnected processes, lack of scalability, versioning issues, manual error. You know, the list kind of goes on and on. There's lots of things where spreadsheets can actually hinder your business. And I'm gonna open another poll quick here, because, again, we have kind of these things on the screen from a lot of our Quickbase customers, but really curious from all of you, what do you feel your biggest cost of spreadsheet is? Whether that's time spent, lost data, any delays, miscommunication, errors, duplicate work, or that actual monetary cost. So let us know, again, as we kind of dive in further and guide this conversation a little bit here. But outside of your guys' answers, spreadsheets are really costing businesses a lot more than they realize. So these results on the screen are from our annual research that we do, our great work report, where we found that almost sixty percent of people are actually spending over eleven hours per week simply chasing down information from people and systems. So over a full workday per week, people are devoted solely to just tracking things down instead of, you know, doing productive functional work. And that is leading to half of people experiencing project delays, miscommunication, duplicate work, and budget overages within the last year alone. Those are huge numbers. And 53% of people are saying that all of this means that only half of their week is devoted to actual meaningful work, which is crazy. You know, just think about how much more efficient and productive we could all be without that hassle of spreadsheets. Right? And that's exactly why we created additional tools within Quickbase to really help streamline these spreadsheets and be able to get actual actionable insights from all of the data that you have. Now, you know, we're not the only people aware of spreadsheet issues at Quickbase. I think this is a known problem that people have been trying to solve. Right? So what we've seen is that year over year, people are adding more solutions to help try and negate this spreadsheet sprawl. So in the last year alone, 80% of people said that they increased investment in different software solutions and tools focused on productivity, work management, and collaboration within their departments, which you would think really should have helped. Right? But it has actually led to a lot more headache. And so 90% of people surveyed said that they're actually more overwhelmed by all of these additional software solutions, with just under 60% saying that they think the combination of spreadsheets and all these solutions has made it harder for them to be productive. And for 56% of people, adding all of these new tools has actually increased their manual workload. So, you know, we're kind of seeing this become a whole different issue. Right? We're adding all these different tools, solutions, but it's actually increased work for a lot of people instead of making people more productive and making their jobs easier. Again, seeing all this data is precisely why we created and are launching some of these new tools. You know, the way we work has changed so much. When we think about the number of tools and software solutions that people are using, it is a much bigger and different scale than it was in 1979 when those spreadsheets were launched. You know? So we can't keep relying on an out of date tool when work in 2025 is completely different. We have to move a lot faster and be able to scale for more users and growth, have stronger data security, and really be able to use the data that we have to make faster, better insightful decisions. So with that, I do want to dive in and talk about those new quick based tools that we created to help with all of these areas and help you pivot away from spreadsheets. So the first feature here on the screen is AI spreadsheet import. This was designed to help you pivot from static spreadsheets, transforming your messy spreadsheet files into those fully functional applications within Quickbase in minutes with no formatting required. You can see a screenshot here on the, slide. We're gonna dive in with Ryan and Devi a little bit more and actually see these features in action. I just wanna give you guys kind of that high level overview of all these new features before we dive into the product itself. Next up is grid reports. So the goal of grid reports is to help you pivot from manual updates into active workflows. This allows you to update and edit data in real time using that grid style spreadsheet interface that your teams already know and are familiar with, but all the while trigger triggering automated workflows and integrations within Quickbase. And last but not least, we have quick insights, which, was designed to help you pivot from guesswork to more data driven decisions using that AI powered intelligence that's built out within Quickbase. And so those are the three features that we're going to dive into really deep here. Again, Ryan and Devi will die get into the platform and show you guys kind of the real use cases of these. And at the end, I think we'll actually show you one more tool that I did not cover here that will give you a pretty cool sneak peek of. So with that, I'm going to pass it over to Ryan to dive into AI spreadsheet import. Thank you, John. Hey, folks. I I mean, I can't really add any more extra context to what, you know, Charlie just did. I think we all know that spreadsheets are great, for small tasks or ad hoc analysis. Like, when I plan my daughter's birthday party, we open up a spreadsheet. If I need to do some ad hoc budgeting or financial analysis, I'm opening up a spreadsheet. If I need to manage the operations of my business, that's where spreadsheets are falling short. And, Charlie, you said spreadsheets were created in 1979, right, or at least the first online programs were created in 1979, but we've been using tables, rows, and columns for thousands of years. It's actually a a bit of a debate in the historical community around whether the Mesopotamians, the Babylonians, or the Greeks started off. So we've done a lot of research on spreadsheets here in preparation for for launching this feature. Now a lot again, a lot of these processes start in Excel or Google Sheets or other spreadsheet tools because it's easy to spin something up. But as soon as they start growing in complexity, that's where spreadsheets fall apart. So we've heard this story for in the last twenty five years here at Quickbase and, customers sort of graduating from, you know, sort of static paper based or spreadsheet based processes into a full custom application. And while we do have tools to help you import a spreadsheet, we've heard from a lot of the folks who are using Quickbase that the data migration, the normalization, the migrating of business logic into from Excel into Quickbase was a really challenging task. So with our new AI spreadsheet import tool, you can take spreadsheets that you already have and just instantly turn them into working Quickbase applications. I'm gonna go ahead and just jump right into a demo, and I'll share something that, probably looks familiar to lots of you. So hold on. If I can navigate the stop share and the share, I'm gonna share this. Here we go. Okay. So the here's a spreadsheet. And we know that the spreadsheets that you folks are working in aren't always very neat and tidy. There are lots of things like embedded tables. You folks are working with multiple tabs. In this case, I'm using Excel to track, projects and resources and track, tasks, milestones, who my managers are, what department they're responsible for. This probably looks familiar to a lot of you. I'm just gonna show you really quickly how easy it is to create a new, Quickbase application. First, I'm going to select the cars in the CAPTCHA. This is our trial form. It's going to, get my account set up and then migrate us into our very quick and easy onboarding screen. So I'm going to start from spreadsheets. I'm going to quickly select the file that I wanna upload. In this case, it's my project tracker. I'm gonna go ahead and continue. And then what our, AI is doing in the background is analyzing the data. So it's breaking them up in, it's identifying the rows and the columns. Basically, the rectangles that make our spreadsheet tick. Once it has extracted the data, it's going to start to figure out how they relate to one another. So it's analyzing the values in the cells to try to build the relationships that we're gonna need in Quickbase in order to create a really nice and seamless application. Once we have that data model all figured out, we're gonna start looking at the logic inside of the spreadsheet. So we're analyzing the the formulas in this case, and we're going to automatically translate those calculations into quick based formulas, and we can show you what that looks like in just a second. And then finally, what we'll do is we'll start migrating all of the data from the objects we've identified from Excel into Quickbase. Now I think we've all been there before. Data migration in any sort of software implementation project is an absolute killer. Prior to working in the product management team, I actually helped run and manage all of the Quickbase applications that we use to run the business and other systems across marketing and sales and customer success, and data migration was always my least favorite part. Lots of checks and balances and making sure that things look right, are formatted correctly, everything's normalized, and then migrating was usually like a weekend task for us while, while the rest of the business was enjoying some much needed, time off. So that data migration is going to happen, and then Quickbase will automatically start generating elements of the user interface. So once this app is built, it will come complete with custom dashboards, custom forms. It'll have roles and permissions already baked in, and will give you a really great starting point to start customizing and configuring the application to better suit your needs. Usually, this takes about two or three minutes to process. And if you remember the spreadsheet that we imported, it was fairly complex. Right? We had multiple, multiple tabs worth of data. I I think we had thousands of rows, hundreds of columns. We're gonna seamlessly translate all of that, through this process. Cool. Great. Yeah. I see Dwight using spreadsheets sort of as we as we're doing this. This is, even at Quickbase. We cannot escape the spreadsheet. If I were allowed to vote in this poll, Charlie, which I saw I was not, I would have said that they are a necessary evil. Okay. Great. Now my custom application is ready, and let's just slide over here and take a quick look at some of our projects. So we have all of our data instantly migrated from Excel into Quickbase. We have our tables, so our projects, our allocations, tasks, milestones, our risks, and our managers, and we also have them all seamlessly related. So you can see my managers here are already lined up nice and neatly. If I go to my tasks, I can see all of my project, all of my projects or tasks are related to projects and to managers. And let's take a look at some of the formulas that we had imported. So I have one field over here that tracks the percent that something's over budget. I'm gonna quickly pop into the field properties here and show you we instantly translated our Excel formula, which was if cell f one is greater than cell, g one, we're gonna show f one minus g one divided by g one. We're instantly translating that for you, so you don't have to worry about doing any of the hard work in Quickbase. Really, our goal here is to get you started right away with a nice meaningful application. Here's the dashboard that was instantly created for us. It shows us a trend of our projects over time, some projects by status, and these are automatically generated for you with, artificial intelligence. Again, just wanna help you get started, hit the ground running with Quickbase, and really start to see the value of the platform. With that, I'm gonna hand it back over to Devi who's gonna show you some new improvements that we're making to help you actually use the, the applications in, in a very spreadsheet like way. Devi. Thank you, Ryan. Let me just so yeah. So you just saw, folks that how Quickbase can take a static spreadsheet and instantly transform it into a live application. And, now natural next question is, once your data is in Quickbase, how do you work with it day to day? And that's where grid reports come in. They bring the intuitive spreadsheet like experience, that people expect, but with the power of quick base behind it, with automation, governance, and, scalability. And we have focused, on three areas to make this happen. Eliminate the learning curve, so by normalizing interactions so they feel familiar, intuitive, and easy to adopt. Of course, save time and clicks, with new and improved features. And in general, do more in one screen by letting you edit, data inline without bouncing, in and out of forms or just jumping from page to page. But, let's jump directly into the demo here and show you how this, works in practice. I believe you should be seeing my browser right now. So, we have here, the app that run also shared. So we have a table report with our project here. It's a it's a report with a little over 200 records. So first that you can notice, as you scroll down, we don't have pagination. New roles kind of flow in seamlessly, and, this is performant even on much bigger reports as well because, performant has been a core focus of this project. We have invested heavily to make sure reports feel smooth and responsive even at scale with thousands of records as well. So, of course, it's important to set up your report so, you can see and operate with your data efficiently. One way to do that is with column control. So for example, I can just double click on this divider here and outsize the column, or I can simply, do the outsize or column, which will, automatically size the columns that are currently on the screen. And, of course, the builders can set sensible defaults on each column, but every user can also adjust, their own view here, and Quickbase, will remember their preference the next time they visit this report. So that means that I'm always working, in a layout that fits to me without wasting time to, changing columns each session or each time that I get back to this report. And another part of the setup is also row spacing. If I want to, to have a compact data dense view, I can, shrink rows to fit more data on the screen. And to make it even more compact, I can use the UI spacing options and have even more data visible as well. And if I want more breathing room on the other side, I can actually expand other rows, make it really dull depending on what you have on the report and what you want to be seen as soon as you land there. For me, I'm gonna go back to the go on medium ground. And, just like columns, Quickbase would remember my choice. So every time I return the report, it's optimized the way I like it. And the next thing I would want to do is actually make some changes to the data itself, and, it's, pretty simple. Let's just scroll a bit into the middle of the report. Like, and I can see this record right here for a marketing campaign. Me personally, I'm not a big abbreviation fan, so I would like to, change that. So I can just double click, and I'm immediately in edit mode. I can proceed to making the change. This blue triangle indicates that I have made an edit, an unsafe change to the table, so I can save my changes immediately. And you can notice that I have been returned exactly where I started from in the middle of the report, so I haven't been brought back at the top of the, report. So I'm not losing my focus, and I can keep working, more efficiently this way. And, of course, it's kind of a simple and familiar experience as to a normal spreadsheet, and editing a single row is, very quick. But the real power comes, when you want to work with multiple records at once. So that's where filters and bow actions like, fill down, for example, shine. And here on the right side, we have where our dynamic filters are positioned. So let's say that I want to review, the projects that are currently not started. So I'm gonna select that as a status. And I also want to have to review only the project that already have a manager assigned to them, which would mean that those fields would not be blank. I can, collapse this. And, actually, Thomas Heinzen is the one who called me that I need to review his, his record, so I'm just gonna search for his stuff. And here we are. So, again, very quickly, I need to update all of his projects to indicate that they are currently in progress. Again, double click, and I can proceed doing my changes. Obviously, I can go row by row, but it will be just easier to do a standard fill down and update them in bulk. I should also update all of this project that have been bumped in priority, and they should be in high. And people always talk about fill down, but let's be more inclusive. Fill up is also a thing, and it works as well. So I'm gonna do that. And, right now, we don't see any records. That's because our filters are still applied, And I can very, easily clear those with a simple click and then back to my, original state right here. And, filters basically help me focus on which records I'm looking at. But sometimes I need to control how the data itself is organized. And that's where the new columns panel again here on the right, takes place. And here we have a list of all of the reportable fields in the table that can be used as columns in the in the report. We can add or remove columns. So let's say that I don't need to have all financial, information on this report, so I can remove some of the columns in regards to financials. And, maybe it will be good to have the date created from the project as well in the pro in the report, and I will actually move it as the first column. You can arrange columns from this panel here or simply drag and drop within the report itself. Another nice thing is that you can do is also group your records, and using this kind of pivot like functionality. So let's, group them by priority. And, obviously, your users would be able to, collapse or expand them individually or do it, with the expand or collapse all function here. And I imagine people will be asking, so I'm gonna say it upfront that builders and admins will have the option to, define what the default behavior here is for the group records, whether to be expanded or collapsed by default. You have this control. And, another nice thing that has been, highly requested as well is, the ability to ping columns. Also, let's, actually, let's put the naming column on the left side and, for example, the, status of the projects on the right side. We all know what's in column do. Whenever I look at the report, this data will be always visible to me. And a nice touch is that as soon as I unpin my column, it will automatically return to its previous position. And, as soon as we have kind of a a layout that we want to work with and we're happy with, we can save this report or actually save it as a different report to have different views or simply revert it to its original state, which actually I'm gonna do, right now. And, so far, I've been reshaping and working, with the data that is already here, but reports are not just reviewing data. They're also a powerful way to manage records. So let me show you how easy it is to add new data, make updates, or even clean up data that you don't need. So I'm gonna edit I'll go into edit mode from the button here in the taskbar, and I can very quickly add some, new records here, directly in line within the table report. And, let's say that this project is actually too big to be tackled as a single one, so we'll need to split it in into two parts. Again, I'm just gonna do this that it's a part one of the project. And, of course, the new project, I can continue creating, but I am gonna just it would just be easier to copy and paste the relevant data here and just update the fields that need to be updated. I'm gonna also update the budget field because being split, it's gonna be a lower budget thing. And you also notice that formulas also update live. And, those two other empty records that I created, I don't actually need, so I'm just gonna mark them for deletion. And I can proceed and save my changes. And, yeah, as as simple as that. I just show you how easily you can just add and manage records right here in the report. No jumping between pages, or opening separate forms. But speaking of forms, we've heard the feedback, and embedded reports in forms are now editable as well. So, let's jump into this security audit, for example. That means you can work, with your data directly where it lives without kind of breaking your flow. And, in this record, you can see some project details, and we have the embedded report for the related tasks to this project. So, again, I can just double click and update that this task is actually completed. I can say that it is ready for review at this point. And I can go ahead and save my changes. And, actually, here on, embedded reports, you can also you can rearrange your column width, same for row heights. And, here, again, the Quickbase will remember them per user and per widget, which basically means that the same report could look different whether as a standalone report, embedded on a form, or even embedded on a dashboard as well. So and, yeah, you heard me right. Embedded reports on the dashboard will also be editable now. Let's jump, into the dashboard. For example, in the managers, tab, you have a list with our managers. I do know that Derek quite very recently has changed departments. So, again, I'm just double click and go into edit mode and update the data for Derek and save my changes. Of course, in if, inline editing isn't needed in a particular report widget, builders can simply disable it as each, embedded report has such an option. So, you stay in full control here. Eda, I'm sure you're wondering, who and when this kind of new features would be available to. So I'm happy to announce that starting October 7, new good reports will be available to all customers in all plans. And, for that basically means everyone. And for newly created applications, this new experience will be defaulted on. So we're starting with it. And for any existing applications, this, new experience will be defaulted off, and admins will have a control to, define when they want to have this internal rollout for them. And when I say control, it's basically a setting in your app properties in the advanced settings section. This kind of drop down for new good reports where you can say whether you want them turned on or off. And you have this additional option that basically allows admins to say, whether their end users, have the ability to toggle between the legacy reports and the new experience or just log them and only have the new experience. And, yeah, basically, to wrap up, good reports bring the familiar few of spreadsheets into Quickbase, but every data edit here is governed, secure, and connected to your workflows. They will be available, to everyone starting October 7. And, yeah, now that we have seen how to import data and manage it in grid reports, I'll hand it back to Ryan to show you the next step with quick insights where we turn data into clear APower decision. Awesome. Thanks, Devi. Folks, just a few more slides, I promise, and then we'll get into the into the product. So, like Devi mentioned, we started with our, our spreadsheet. We then quickly saw how easy we could push that data into Quickbase to create a new application. You're now interacting with it in a very similar spreadsheet like fashion with fill downs and really flexible visualization options. But one of the the core benefits of Quickbase is our core database. And because the data is structured in a certain way, we're able to do really powerful things with the data once it's inside of Quickbase. The first thing that I'll demonstrate today is quick insights. Quick insights helps users uncover correlations between their data to answer questions that they didn't necessarily know that they needed to ask and highlight trends, how data relates, and it shows that in a very easy explainable way. So I'm gonna jump right back into the, demo app that we've been working in. Gonna share my entire screen. Great. So, again, as a project manager here who has, you know, just, taken the first step into getting their processes under control in Quickbase, one of the things that really bubbles up over and over again is budget overruns. Every project manager is trying to do two things, make sure projects are delivered on time and make sure that, you know, they don't break the bank with some of the purchases that they've made. We are currently tracking budget overruns in our we were tracking in our spreadsheet that was automatically imported into our Quickbase app through spreadsheet import. And I've got this really simple field here that tells me whether or not a project is over budget. To get some deeper insights, I can open the the context menu, click quick insights, and all I need to do is answer a single question. What do you want to predict? In this case, I wanna track what is causing my projects to be over budget or that value to be checked. So I'm gonna go ahead and generate insights. And what we're doing on the back end here is grabbing all of the data, running it against, machine learning algorithm to produce, the correlations and trends that we see. So really simply, we're seeing when our manager ID is M007 or or Tom Sanders, we're looking at a our projects being 32% more likely to go over budget. We're also showing you things like the confidence, so how statistically significant is that and the correlation to the outcome. Now it was really important to us to be able to, give these really powerful data scientist tools to our citizen developers, to people who may not be technical, and we were able to do that with just a couple of clicks. We're gonna show you the first six, but depending on how big your dataset is, how many columns or rows, we could generate dozens of insights with with quick insights. So I'll show more. These ones are we're a little less confident in, still pretty highly confident though. 84% confidence is pretty good statistically speaking, and I can see other factors. So when Arnold Auerbach is a project manager, we're actually 28% more likely to be over budget, or when Joe Cruz is our project manager. We're actually under budget. 28% under or 28% more likely to be under budget with our projects when Joey's at the helm, which shouldn't surprise anybody. So these are great to give you sort of a a point in time view of how your data currently works. But like Charlie alluded to a little bit earlier today, we're gonna give you a sneak peek at a feature that we're gonna be launching on October 7. The name of that feature is data analyzer. Now data analyzer is really just an an additional step with Quickbase when it comes to predictive analytics. It doesn't just explain what's happening now. It actually predicts what's likely to happen next. So, again, think back to our use case, projects going over budget, or, projects becoming delayed. We'll be able to analyze the entire application, look at all of the data, generate those correlations, and then output what we call a prediction field that will show you how likely an individual project is to be over budget. And, again, the beauty of Quickbase, it's an ultimately flexible platform. As long as you can describe your outcome to us, we can generate predictive models on top of it, all with no data science or coding required. So, again, really quickly, we'd love to give you a sneak peek. I'm gonna pop back into our, into our demo environment. And for those with Eagle Eyez, you probably already saw. We are one click away from creating predictive models with data analyzer. I'm gonna click this link here. It's going to remember what I asked the first time, so we're looking to track how likely projects are to be over budget. And the only thing I need to do is tell us or tell Quickbase what I want the field to be called. So you can see I've done a lot of testing. I'm gonna say, I want this to be named the likely or likelihood of over budget. For those who may have some data science background, there are additional inputs that you can change to help generate better predictions. And once I click generate, again, we're gonna extract all the data from your application. We're gonna do the feature development, the data normalization, and the correlation sort of mapping, run inference, and then automatically import that information directly into Quickbase. That takes anywhere from fifteen to thirty minutes to run, depending on the size and the scale of the application. And you'll get an email once it's ready. But I'm going to pull sort of the baked turkey out of the oven here. Before this call, I did run a predictive model on this application. And, again, we're predicting the likelihood that our over budget field will be checked. This is our model's detail page. So this tells you what's going on, not only in your data, but how the model works under the covers. So we're seeing here a nice chart that makes it really easy for me as, the admin or the project manager here to see, where my data is. So I'm seeing of the majority of my projects are actually really likely to be over budget. They have a 60 to 70% chance likelihood of going over budget. Here's the accuracy of the model. And, again, we've got a lot of sample data with real data. Some of our customers have decades of data inside of Quickbase. We're creating really accurate models, on par with the leading models on Kaggle, for example. And we're also going to show you the fields that impact the predictions. So what are those underlying correlating factors that are causing your your projects to to hit a budget overrun? So in this case, I'm seeing, you know, the project name. There's something about it, whether it's lots of either integration or, I think we have, like, data warehousing projects in here that might run over budget more frequently. We're seeing whoever is assigned to some of the related tasks or, what the manager's name is. So, again, assignment. Our people are a key factor here in our projects running over budget, and the complexity of the project itself or the complexity of the underlying tasks. If we're seeing lots of high complexity tasks, we're likely to run over budget. Now this is very drillable. So I in one click, I can get down and start to inspect the records in my application that are running or have a high likelihood of being over budget. And we'll pull that up really quickly here so we can see it. Here are the 50 projects that we identified that have a very high likelihood of being over budget. We can scroll over here to the right, to find our over budget likelihood, or we can pull up our nice column mapper to bring that up into into view. So for example, our security audit number three, we actually have a 73% chance of that project running over budget. Now because this is a quick base field, and is just ingrained inside of the database, you get to leverage the entire power of the platform. This field can be used in things like dashboards and reporting. It can be used to power workflow automation. So if, the likelihood hits a certain risk threshold, you can trigger new actions or activities, and can be used for emailing and alerting. Now just to show you an example, I'll pull up a dashboard that I made on these predictions. This will end up being the first spot that my project managers go every single day. This shows them the highest likelihood projects, the projects that have the highest likelihood of running over budget with some visualizations on top of it. So I can see, hey. We're actually seeing lots of, lots of potential budget overrun in our in progress medium complexity projects. What are some strategies we can do as a business to help address those risks and prevent them from occurring in the future? Again, this will be available on business and enterprise plans in Quickbase starting on October 7, and we are very much looking forward to seeing the types of things that you all are predicting. And just to recap here for a second, I'll let's just, show or remind folks, what we just talked about and what's coming when. So we talked about AI spreadsheet import, which helps you take those really messy spreadsheets that probably shouldn't be spreadsheets and translate them into Quickbase apps in just a couple of minutes. That's available right now for all of our customers and prospective customers. Grid reports with which Devi demoed provides a really intuitive user friendly experience for editing and managing data. That's available on October 7. Quick insights, which shows you what's causing certain things in your business is available now on all plans. And data analyzer, which allows you to, integrate predictive models into your database, is available on October 7. And, Charlie, speaking of October 7, I think you have some news for us. Yeah. Absolutely. What a what a great segue, Ryan. Speaking of October 7, conveniently, that product launch aligns, exactly with our annual free virtual event, Empower Pro. It's almost like we planned that. Crazy. Right? You all, if you are on this webinar, should absolutely attend Empower Pro. We will be diving deeper into all of the features shown here. We'll be going more in-depth on grid reports, which is launching, again, the day of this event. We'll also be sharing, some other new product features and capabilities that we have not announced yet both for Quickbase and Fastfield, our mobile forms platform as well. So, if you have not signed up for Empower Pro yet, definitely scan the QR code here or visit quickbase.com/empower/pro. Get signed up. Again, we'll lead kind of day one. We'll kick off with the product announcements, share what's new to Quickbase and fast field what's upcoming, and then we'll have some products deep dive sessions as well where you will get to see those features more in-depth and also ask questions live of our product experts. And then day two, we'll have some exclusive training sessions as well on Quickbase and Fastfield. So be sure to sign up, join us. We would love to see you all virtually at Empower Pro. Then I'm gonna last open our final poll here and see who has signed up for Empower Pro. Your options are either yes or no, but you're signing up now. So I'm expecting to see all of you at Empower Pro October. But with that, we will open up for questions. Feel free to keep submitting questions in that q and a feature or in the chat. I know that Alice, Ryan, and Charlie have been responding to comments in the chat behind the scenes. Keep those questions coming. A couple of questions that I have noticed just to level set here. Yes. This session is being recorded or was recorded, essentially. We will send that out via email tomorrow so that you all can, again, revisit it, share it out with your teams. So stay tuned to your email inbox for that recording as well. Alright. Questions. We've got quite a few here. Let's see. First question I've got, can a spreadsheet be directly imported into an existing app and related project? Yeah. Absolutely. We have import capabilities where you can upload a CSV or, an Excel doc, do some column mapping, and get that data from Excel into existing Quickbase solutions. And right now, we're actually investigating more agentic ways of taking maybe really complex spreadsheets like the one we demoed and doing that data normalization for you even within existing applications. So more to come there for sure. Awesome. Thanks, Ryan. Let's see. Next one here. How do you differ from the original AccessDB and MongoDB as well as Microsoft Power Platform BI reporting? Oh, what a fantastic question. So to back up, a lot of our customers, actually have access database experience. Right? Really, really similar when it comes to data modeling and some of the objects that you're creating, like forms. Where Quickbase excels, well, first of all, it's a modern cloud based platform. So sharing, data securely across your team and organization, is one of the key selling points. We also have built in data visualizations and automation features that really take some of the things that were really, really hard to do in access and make it really easy in in Quickbase. And it's also more catered towards our business developers, democratizing software development for folks in the line of business. So much more easy and intuitive experience and access. I think Mongo was the the database that was was brought up, which is definitely more developer focused than than Quickbase. Super flexible, but requires a lot of, like, coding and sort of back end setup. Quickbase is low code or no code. Right? You get a ready to use environment with built in user interface workflow, reporting, and role based access controls sort of already in place. And then as far as sort of Microsoft Power Platform and Power BI, I think was the the third sort of part of that question. I love this loaded question so much. So Power BI is a great sort of data reporting and visualization tool. So think like deeper analytics, but it doesn't manage, like, the operational workflows that, you need to run the business. So Quickbase really combines all aspects of that in a single platform. So you have your workflows, your forms, your dashboards, your automations in a single place. And, actually, a lot of our customers do connect Power BI to data in Quickbase for visualization. While Quickbase lives as sort of the system of record, you may wanna combine your data in Quickbase with other systems that you have, and all of that gets unified in Power BI. So, really simply put, Access and Mongo are databases. Power BI is a reporting layer, and Quickbase is sort of a full stack end to end platform where you can run and analyze your business without needing to be, an IT expert. Amazing. Thank you, Ryan. Yeah. Of course. Great question. Let's see. Next one here. Does AI have to be turned on? If so, is there any option to just turn it on for certain people? Great question. So right now, AI is, an all or nothing switch, so users can choose to opt out if they don't wanna use any of our AI features. We're working on more granular access controls, and that should be, that's on our roadmap for, early next year. Excellent. Yep. Alright. Are these grid edit features available in our regular applications? If it that means, like, existing applications? See, yeah, they will be available automatically to all existing applications starting from October 7, defaulted off. The control is in you where when to enable them for end users. Perfect. Let's see what else we've got here. When the Excel spreadsheet was imported, did Quickbase import that first sheet or did it recognize there were multiple tabs with information to import? Yeah. Great question. It, it recognized multiple tabs. It read the multiple tabs, related them all together, and imported all of them at once. So all the data in that spreadsheet ended up making its way into Quickbase. Excellent. Love it. Will the new grid reports be automatically deployed on all realms or will it be opt in? Yeah. They will be automatically enabled, exposed to everyone. Excellent. Let's see what else we've got here. Is there an audit trail of who made what changes and when? Oh, there certainly is. Yeah. I think we have prided ourselves over the last, few decades in, our governance capabilities, all actions or record change actions made, whether that's in the user interface or through the API, are available in our audit logs. Awesome. Alright. Is the AI option able to handle a lot of formatting within a spreadsheet? For example, a spreadsheet that was set up to be a survey and thus has a lot of rows that are just for understanding or readability, not in clear rows and columns type of format. Yeah. It's a great question, and I'm gonna give my favorite answer. It it's gonna depend. Right? So we're dealing with a nondeterministic input like a spreadsheet going through a nondeterministic system like AI and into another nondeterministic system like Quickbase. So it's gonna depend. Right now, we are, improving our agent to better, handle formatting. In most cases, it works really, really well, especially if you do a small amount of leg leg work beforehand to format the spreadsheet. So what you would do in that case is just select the area that you want to import and convert it into a table instead of just rows and columns. That gives us really clear line of sight that the user said, I want this to make its way into into the database. In the next few weeks, we'll be releasing improvements that won't require that, and we'll better handle the things, that or the heavily formatted Excel sheets when it comes to things like space or rows and columns just for formatting and not necessarily data. Excellent. Yep. Will pipelines have to be designed to handle bulk triggers or will they still work the way they're set up now? But those two work the same way that they do today. Yep. Perfect. Yep. So, for I mean, those who don't know, we did just release a new bulk trigger so you can handle massive updates of data really elegantly one at a sort of one off instead of looping through those records one at a time. Perfect. Alright. How do the new grid edit functions work in mobile, and is there any focus on improving mobile? Yeah. There is more work to be done to be, complete to work on mobile. So, yeah, we're trying to, to do the base right and go from there. So, yeah, that's definitely on the radar. Awesome. It looks like we have a couple questions in here around, if people will be able to access, like, the demo that you showed. Sure. Like the demo spreadsheet? Mhmm. Yep. Exactly. Yeah. There's nothing sensitive in there except maybe my CELTIX fandom. So, yeah, happy to to share that in ways that that makes sense, Charlie. I don't know if I think we can figure that out, but that demo spreadsheet's a a great way to get started and really explore the the capabilities right away. Perfect. Love it. Alright. Let's see what else we've got here. There's a bunch in here, so keep them keep them coming, everyone. Let's see. At what point will the grid edit feature prompt you to save the report as a new report instead of just remembering how I want to see data? Yeah. So it you need to make kind of a more structural change on the report, the one that we call kind of schema changes. So think of, like, applying a filter or sorting, bidding columns as well. Those are kind of considered the schema changes, so you can save the report with those changes. But for example, column width and row heights, these are not considered as changes. It's a kind of a user preference. So it's more of a kind of a structural change on the actual report. Awesome. Adding columns to moving them, all these. Perfect. Alright. Let's see. Can you add children in embedded grid reports like legacy forms do? Oh, yeah. Yeah. Yeah. We we'd keep that and, yeah, there will be a a number of ways to do it with a subform, with the inline edit option that I showed for the stand alone report as well, and they will be having the connection with the parent. Yeah. And for those who might be on this call, that might be due to Quickbase. That's one of, the real benefits of migrating from spreadsheets into Quickbase. You can see how all your data is connected and easily make changes in a single place. Awesome. Let's see. Excel has a forecast and forecast linear function. Would that be available in no. It won't. So there are, sort of a I think we have identified there might be a 168 Excel functions. There, the ones that we do support are in our help center if you if you want more details on what is and what work. For any formula that doesn't have sort of a matching pair in Quickbase, we're gonna import the raw data. But for some of those forecasting ones, I would love to chat with you and understand how we can help address some of those use cases with data analyzer, because that would be our way to, handle, like, things that might need a little bit more, computing power than just our formulas. Awesome. Cool. Will the old style reports still be available? Understanding new grid reports will be defaulted for existing apps, but is that true for apps running the old style reports? Yep. The old style reports, if you refer to kind of the the very first version of them, yep, they will be available. The kind of so called new style reports or the the version two of the reports, that are currently available, those are the one that, our new good reports will replace. And, I did mention the toggle of switching the experiences. So that toggle will basically, allow you to switch between the new experience that I just showed and get back to the, legacy style reports with the old applications. So, yeah, we'll have the option to go back to the legacy reports if needed. Awesome. Perfect. Alright. We are at the end of our time. There are still, honestly, quite a few questions that we did not get to answer. I know, again, Ryan, Michelle, and Alice were answering some in the chat as well. Feel free to keep dropping any questions if you have them. We will have someone follow-up with you directly, especially for those of you who, were asking specific questions about, your Quickbase realm, your plan, all that good stuff. We'll make sure that your account manager follows up with you right away to get those questions answered. But we do wanna continue answering questions after the webinar today. So, if you did have a question that went unanswered, we'll make sure that someone follows up with you. Again, we did record this session. We will send this out to you all via email tomorrow, so be on the lookout for that. And then a friendly reminder that, all of these features will be available by October 7, some available now, some going live on that October 7 date at Empower Pro, and we hope to see you all at that free virtual event. Thank you all for joining us today. I hope this was super beneficial for all of you. Ryan, Devi, thank you guys so much for diving into the product. Super helpful even for me to see even though I've seen it a million times. So appreciate everyone's time and have a great rest of your day. Thanks. Thanks, folks. Bye.
