Transcript for "You Built the Form. Here's Everything Else FastField Can Do": Alright. So, wanna just say thank you to everybody who's on the call now. I'm sure we're gonna have more people joining. This particular webinar is gonna be a lot about you know, the first part is you build your form, and then what else can you do with Fast Field. So, both Michael and myself will be tag teaming, on this webinar. And, really, thank you again for joining, and we'll I'm sure we'll have more people trickling in. Just an introduction on my side. My name is Matthew Fry. And, here at Fastfield, I've been here for over, I think, sixteen years now. So really have enjoyed watching a product, you know, really go from birth to current, and and it's been exciting working with all our customers. And so thank you for having me on. So, Michael, if you wanna introduce yourself, and then we'll move. on. Yeah. Hello, everyone. My name is Michael Down Huron. I've been with, the Fast Field team for a little over four years now and excited to be showing some some reports and some workflow and all that good stuff. Awesome. Alright. So, let's go ahead and just start with, this particular slide, which is just asking you as the audience a question, which is, we'll kinda get get our feet wet, and then we'll move on to actually a live demo. But, if you were to answer this question, you can feel free to add it to the chat window. What slows you down most in your daily workflow? Would that be creating forms, building reports like PDFs, things that come out of your, you know, forms that have been submitted, distributing data? So, love to hear your feedback on those things while we're kinda waiting for others to join. Be super helpful. Thanks. Great. Okay. Yeah. Okay. So I've see seen a lot of lot of twos. Kinda it's I'm seeing a lot of ones and twos, but, of course, I'd love to kinda see this afterwards. So feel free to add a few more. Got some threes at the very beginning. So good. And, hopefully, this this webinar is gonna cover some of that, so we'll we'll be diving in. Alright. So let's go ahead and, keep moving forward here. And so thank you for that. That helps us a lot just kinda get a sense of where everybody's at. Today, what we are going to cover is I'm gonna go ahead and start out by building a form from a PDF, in our new AI builder. I'm gonna give a little bit of the secret sauce of Fast Build, like, hey. Here's some things that you might not know about, and help you navigate around the new AI builder just to get a sense of of, items that I think over the years working with customers are important to know about. And then what I'll do is I'll pass it off to Michael, and he's gonna go ahead and build a custom report, so that PDF report that gets generated. And he's also gonna show how, to build a workflow to send that report out to the right people. Of course, we have our help center, which is always available, but we're hoping this will be, a video that you can, you know, come back to and kinda get a sense of how to do some of these things. Okay? So I think it's best we just jump right in and get started. So I'm gonna first start by, showing you new the the new AI builder and building a form. Okay? So let's let's get that rolling. So give me a second. And just as a note, this is a live demo. So, you know, there might be some bumps along the road, but we're gonna get through it together. And, we'll we'll, so if you encounter like, hey. Something's a little slow or something didn't get added, it's a live demo, but, we should have a great time. Okay. So I'm. gonna share, my screen. Oh, yeah. Go, ahead. while you're pulling that up, I do wanna point out too, there is a q and a specific section. So if any questions come up, throughout the demo, please drop your questions there so that we can address them, instead of the chat. So, again, just questions in the q and a and any other comments in the chat. Thanks. Awesome. Yeah. Thank you, Michael. So I just wanna make sure, first of all, can everybody see the screen? And, Michael, maybe, because. I can hear. we're we're good? Alright. So the first thing when you when you enter into the Fast Field portal, those of you who are just getting to know Fast Field, your left hand navigation panel has different offerings that you can tap into. Those that have been here a while, you already know this. But I'm gonna click on forms just to create a new form. And over on the right, you'll see the button. I'll go ahead and select that and select form. Now for those of you who've been around for quite a long time, you're gonna see an option for legacy form builder. And those of you who just started, you probably won't see this. You're gonna see the AI form builder. So from this point forward, we're just gonna be working within the AI form builder. So I'm gonna go ahead and select that. Okay? What we what we have are three options for you. I can upload, like, a paper, a PDF form, something that's already been generated. I can take a photo of, like, a napkin writing of of a checklist that I might want to upload. And, so that's one option. Another option is, hey. Let's just describe it in words what I'm looking for. A safety application for PPE on a job site, you know, and have it generate the form. Or I can simply start from scratch. So, what we're gonna do is we're gonna go ahead and create a a PDF, upload. So I have this ABC construction job site risk assessment form. And just as a note, it looks like this. Are you seeing this, Michael, or no? Ah, Just. fast field. Well, I'll try and get that to show. But I'm gonna go ahead and select a PDF right now, and you should start to see the builder go into action. And so this is the AI form builder. On the left side, we're gonna have our AI assistant and our field options. In the middle, you have your canvas. Right? And on the right, you have preview and field settings. So once the form gets generated, should should take, you know, anywhere between twenty to forty seconds, you know, to build something out. We now have our form in the middle canvas area here. And on the the right, we have the preview option to to preview, you know, how how we did overall. And, actually, what's cool is you can type in, you can select answers, and just kinda see how that looks. As a note over here, also, you can scan this before publishing to view it on your mobile device. So that's that's super helpful. Alright. So the first thing that I would like to do is just talk a little bit and quickly, about things that I can do with our AI form builder that were very difficult to do, within our legacy or if not even available. So first of all, on the left hand panel, we have the AI assistant. Okay? And this AI assistant is something that I could use that would allow for me to even talk to it. So one I one thing I might wanna do is update to add photos. So right here, I have, like, head protection, and it's yes, no, or NA. Right? And if the answer is no, I wanna add a photo after that. So, what I'll do is I'll just select this section. Now I could say I want this for all of my, you know, yes, no's, but in this case, we're just gonna select this section. And I'm gonna go ahead and say and I can use the microphone. And I'm not sure how this is gonna work in the webinar because I'm already on the microphone. So if this doesn't work, update selected section to add a photo with annotation after each yes, no in a question. Only show photo if answer is no. Otherwise, hide photo. So what should happen here if, you know, the AI does what we expect is that we should get a photo, and we're gonna notice or or we're gonna see over here on the right. If I say no, the photo shows up. If I say yes, it's hidden. So I don't know if any of you have done form building in the past where you had to manually add this in. This can speed up your time immensely. Right? This this can really help out a ton. K. So I just wanted to show you how you could speak and work with the AI to help, you know, on building fields and adding fields and even working with rules. K? Alright. So, the other thing that I'd like to talk about is, some of the secret sauce is these things that you might not know about. So in the new AI builder, under settings, we have a few items I just wanna bring up. Okay? Show quick setting icons. I'm gonna select this. Now you're gonna notice that these new icons show up here. I love this because, I can just select, hey. This field is required. Alright. The other thing I could do is go down here and say, make all my fields required, you know, and you probably don't wanna do that. Or you could select, you know, this and say, make only these fields required. So you can play around between a manual touch and an AI assistant. That's the beauty of what FastField's created here. Let me just get rid of that. Okay. So, the next thing so so I'm just showing you that you have the option for, like, geotag, timestamp, field rules. You'll notice that there's a field rule in here that says, hey. If it equals no, hide or show photos. So, the reason I'm just showing that is because oftentimes, our customers don't see that or don't know that they could do that. Dynamic submission name, this is super important. This is not like this is something you wanna do when you build your forms at the beginning. What if you wanna name your PDF dynamically so that when when this form is submitted, it's going to give the I'm sorry. I don't wanna do job site location. I might wanna do, yeah, I'll do job site location and maybe the date. Right? So when this form is submitted, every time it's gonna dynamically name your PDF, your Excel output, your reports, and the form itself under job site location and date. So if you were not aware of this, I highly recommend this. This is a dynamic way of naming your forms, and we can talk more on that later maybe when Michael is, you know, showing the report. Okay? So I'm gonna go ahead and x out there. The other thing that I wanted to bring up that is important to note is the assignment to a library. Now we're not gonna get into libraries and assignments of libraries, but it is good to note that Fast Field has libraries and you can assign users, and forms to those libraries. So if I'm, you know, a particular individual out in the field, I may only wanna see certain forms. Right? Or you may only want me to see certain forms. So you set up libraries and then put the forms in the library for those users. At this point, I'm gonna go ahead and assign this to my demo library so I can actually show you on the screen what that looks like, if I publish it. Right? So I'll go ahead and assign it to my library. Again, these settings, are are it's under settings area. Just look around here, kinda get a sense of what this is offering. K? The other thing that I think is really good to, update project list to data table. Yeah. So what I might wanna do is, add, like, a job site list up here. And so what I'm gonna do is I'm gonna go ahead and, add a data table. So you'll notice over here on the right, I can add fields so that now we get this manual kind of approach to, hey. I'm gonna go ahead and add a data table. I'm gonna bring that in here. And, I already have a data table created. So this is a list that I've already created that's available under my data tables, and it's called project site. K? And, so I'm gonna pull in that project site, and I can also view and get a sense of what that looks like. So I have the project site, the address, accessor name, and details. Okay? So, now that I have that set up, I'm gonna go ahead and name this project site. K. And you also notice that you can collapse a section. Also, right here, collapse all your sections. Right? K. So, now that I have a project site, I just wanna see that that's that's working right so I can select, you know, my project site, okay, which is all good. Alright. The next thing that I might wanna consider is is weather, as as an option. So maybe I wanna create a a weather, list here. So what I'm gonna do is I'm gonna go, back to my AI assistant, and I'm gonna say, I would like to create a drop down list with weather conditions. And I didn't really tell it where I wanted that, so we'll see where it puts puts that. Right? And it's probably threw it down. Let's see. Michael, do you see where that went there? Let me see. Did it say I added the weather condition drop down to the project site? Oh, yeah. We probably didn't want that. So what I'm gonna say here, I would like to add weather conditions as a separate field under my worker and shift details section. Okay. So now it added it, and I can come in here and it says clear, partly cloudy, overcast rain. Okay? So that was good for you to see because sometimes, you know, I I don't know how many of you have used AI, you know, recently, but sometimes you don't get exactly what you want. So you try again, and, oftentimes, you're able to zero in on it. K. Alright. So, Michael, I know, you know, we're kinda probably getting to a time where I need to have you, jump in. But what I'd like to do is one other, added item. is if I wanna manually add a section here, I'm gonna go ahead and add this section, and I'm gonna say PPE, reference. Right? So this might be for this project. I want my supervisors to reference, you know, a particular diagram. So I'm gonna go ahead and add the field. So by clicking add field but you notice here I can add sections manually. But over here, I'm gonna choose the embedded photo. K. I'm also gonna come down and select the document viewer because I just wanna show you that you can do either one. So for the embedded photo, you'll notice that I'm not seeing the field settings over here. You can simply click this cog, and it's gonna show us the field settings. Or, if I was in the preview mode, I can come up here and click field settings. So just kinda helping me navigate a little bit there. So back to my embedded photo, I'm gonna upload the photo image of the PPE, and we're gonna see that populate here. And here's my image, and I'm happy with that. I'm gonna go down to my document viewer, and I'm gonna upload that file, which is my ABC company document. And now that I'm let's just say that I'm happy with what we've created so far. I'm gonna go ahead and publish this form. Now up until the point you publish, just as a heads up, you can use this QR code to see what it looks like. But once you publish, what that technically means, it's out and available for your team to review. So I'm gonna do a quick show and tell on my phone and then pass over to Michael so he can give, a little show and tell on his side. So if I click on forms in Fastfield, here's my job site PPE requirements checklist. Open it up, and, here's the form that we created. Here's my data table list of all of our projects. Here's the PPE, you know, embedded photo, which is really nice to have. Or if you want the document viewer, which is a PDF, it can open up like a PDF for your safety or Yep. Hey, Matt... Matthew. We're still just seeing, Fastfield, the form builder. I don't know if you're sharing, like, your your mobile device. Yeah. That's a bummer. So let me see if I can if I can get that to share. Thank you for. letting me know. Appreciate. that. And while while you're pulling that up, there's a question in the chat. Did it add the data to the product site data table, and can you undo it? Any any changes that you make with the prompt, there's an undo button, so you can very easily undo any changes that were made to the assistant. There's also a redo button. So if you wanted to add it back in, right, you could do that as well. Yeah. Yeah. And that's that's a great question. What we'll have to do is is and you know what? I might not be able to share. I think I'm not able to share, my actual video, of my phone. So, primarily, the only thing I wanted to show you by showing my phone, and that's because I'm already doing a video here, is the view document field, which actually pulls up the PDF. Everything else is showing in the preview. So good question on on the data table. I mean, we could just go take a quick peek and see if that happened, and thank you for that question. So under project site, let's just see, if we if we have anything. Sorry. It's under view data. My bad. Click that again. View data. My gut is that it didn't do that because that would be kind of something that would be out of the ordinary for it to go update some data table. So we can take a look at that. But great question, and we'll kinda jump into that later. So as far as moving to the next step here, what we'd like to do is take the form that we built, which is here, and then Michael's gonna go ahead and build a, a report from this form that we built. And then we can always jump into questions. By the way, just as a heads up, this is the report that I uploaded. Can you see that now? Because I'm sharing my full screen. Right, Michael? Yep. Yep. We got it. Right. Great. Perfect. So I'm gonna go ahead and pass over to you now, and you can take it from here. Very good. Thanks. Give me one second here. Very good. I should be sharing now. Matthew, if you could just validate that for me. Yes. Alright. Your goal. good. So I'm in the same Fast Build account. Here's that job site PPE, the job site safety form that Matthew just created. We're gonna create a custom report. There's two ways to get into a custom report. On the very left here under custom reports, right, we can create this here. Or if you're within the form builder, edit form, let's say we were still making changes, down here, the workflow button, you would you would be able to create a... Sorry. Reports reports here. You'd be able to create a custom report here. So let's let's actually create it from here. Custom report builder. There's two types of reports that you can create in Fast Field. There's a... What we call a static report and a dynamic report. So let's create a static, static PDF report. Whatever you name it is fine. It just differentiates between the different reports and you can have very many reports per one form. We'll get into that a little bit later. Let's create this and we'll click on it. This will pull up our report builder. We get launched into this little wizard here. The main difference between the two, right, static report is you have an existing PDF. So, right, we have that same that same PDF that Matthew just showed. I have it on my end as well. Let's say we wanted to maintain this branding, in this kind of format. We can simply upload this PDF and then map Fast Field the data... The the field... The data that the field... The form collects, we could map over, over this existing PDF. So that would be an example of why you would use a static PDF. The other option here is a dynamic. So let's say you have, like, an order form, and, your order form can consist of... Maybe one submission is five items, and the next submission is a 100 items, a large order form. So dynamic gives you the ability to still generate that report, whilst maintaining all of your line items there. So in this case, we'll do a static report since we have a PDF and some branding that we wanna maintain. We can either do a portrait or a landscape. I believe this is in portrait. So I'll click portrait here, and then we'll do upload PDF. And then we'll just grab that PDF whatever... Wherever it's saved on your computer. And then it'll it'll upload, and now we have, our PDF in our, report builder. So, on the left is all of the fields from that Fast Build form that Matthew had just created, and we need to map those fields onto this report. And a a a neat thing about this too. Right? Only the fields that are mapped get outputted onto this report. Right? So I'll I'll call out here project site. Let's say we wanted to add this here. You do have to kind of resize and fit everything in. Worker name, looks like this is for the assessor. Right. And it's just kind of, like, matching, what fields in the form to where you want it to show up in the report. Job site location, this should be site address location, supervisor name. I think that's maybe down here. Okay. And this is this is a great example. Right? Maybe there isn't a place for supervisor name, and we don't have to map that. Weather conditions, we've got a spot here for weather conditions, PPE reference. Let's scroll down here to the people in PPE. Sorry. Site readiness. I'm just looking for the fields that are matching up. Access, exits, and I can use this to access Safety. Give me one second here. Let me just make sure I have the correct PDF. It doesn't look like the the the fields are matching to the form that... Or the report that I have. So just give me one second. Hey, Michael. I'm Yep. I'm I may have kinda messed up. So I I don't know. I was actually going in to look. I think I may have grabbed a different PDFs to build the form. Okay. No worries. No worries. Listen, I listen, everybody. Again, like we said, live demo. Apologies. I had two PDFs next to each other. So what I'm doing really quick is I'm just building an entirely new form with the AI with the correct form, if that's the case, and then you can just grab that one. Yep. It yeah. I totally blew it, everybody. I used the wrong PDF to build a form. Sorry, Michael. If you wanna just go grab the new one, I'm gonna publish that out, and. you can start mapping those fields. No worries. Thank you. Alright. Alright. Well, it happened in. ten seconds. We were able to build a new one. So there you go. There we go. So AI form builder. Alright. Okay. So we're we're in the new form. Let's go back to report, customer report builder. I think that was actually good to show because it can vary... It shows you how easy it is to spin up a new. form and make changes and all that good stuff. also, So, I was just trying. to stump you there. You know? Okay. Thanks, Matthew. You're welcome. So we'll go back to the report builder. We'll upload our PDF here. Alright. Now we should have more of a a one to one here. Hopefully, we'll zoom in, make it a little bit easier to to see for you guys. So project site. Again, we'll very quickly map over this. Site location. Got it. This makes more sense. And, you'll notice too as I'm mapping things from the left over to the right, I can click on the field and a whole new set of settings will show up. So, the font of the data that you wanna show, the font size. Right? Maybe you want it a little bigger. Text color, if if you wanted to include, the time stamp and GPS stamp. Right? Matthew showed us how to enable those settings. Maybe you want those included on the report as well. Right? So we can toggle these on and off, as well as have a little bit of formatting in the cell. So let me actually zoom out just a little bit here. Let me just get the fields plopped onto this report. There is a snapping feature. Right? So you can see I can very quickly throw that date over to the left. It'll align itself to the to to the project and site. I can also use my arrow keys, which you can't see right now, but you can see I can do very precise movements here. So for those reports that have very small, widths, tables, things like that, you can very precisely add mappings. Start time, and let's do weather conditions, assessor name. And then for the sake of time, I'm just gonna do a few of the, a few of the, yes, no NA fields. So these are a little bit different. Right? These aren't text fields. We don't want the text to actually show up. What we wanna do is we wanna add a single value. So if, yes is selected for access, exits, and emergency routes are clear, right, we want a a check mark to show... To indicate this on the report. Now what I'm doing here is I'm control c and control v to copy paste, and then I can change this value, right, to no. And I know I'm going a little fast. We can cover this in a little bit more detail if you need... Is there any questions on this? Yeah. And then what you can do here as well, you can drag, select all of these. Right? Same thing here on my keyboard, command c or control c, and then control v to paste. Right. This will give us, our second row. We can do this one more time and then one more time. And I'm using my arrow keys to just align it so that it looks good in the in the report. Only thing here we have to do is is just change the field. Right? So, we copied it from the first question. We just wanna make sure that it's pulling from the respective question. Right? So that way it's driven by the appropriate question. So we'll just do a few here. Work area, work area, and work area. We'll hit done. We'll scroll down here. Let's map some other items here. So let's do, like, assessor signature. Right. This will show up as a photo. We'll hit done, and let's do review completion time. Very good. So we didn't map everything. I guess we could just map over the field items as well. This can go in here, Yeah. and then we'll save this. And and oftentimes, this particular, you know, report would be something like the agency requires it in a very specific format. And I don't know, Michael, if if it's worth just doing a quick show and tell on, like, the dynamic because sometimes they don't need this. Right? Right? And I don't know if you were gonna go there. Sorry if you were. Yeah. Yeah. Yeah. I can do that. So I just saved, the same standards apply. Right? If you save as a draft, it's not actually out and live for people to use out in the field. So you just wanna make sure that you publish. I'll hit back to reports. Let's just show very quickly the dynamic PDF report. Dynamic PDF report. Create. And and then we'll click this here. So we'll do dynamic here. We can either start from scratch or we can auto generate. I like to auto generate, and do two columns. This gives us a great starting area. Right? We have a a place to put logos, company name, address, contact details up here. It takes everything within your form, puts it into your report in a nice, kinda template. And you could you could technically ship this off. Right? This is... If this looks good to you. Right? But you can you can update these colors. Right? Let's say, maybe blue isn't, part of your brand. You can update this to red. There is a hex code in here. Right? So you can get very close to whatever... You can get exactly whatever your branding color is. You can drag and drop fields here. Right? Maybe you want weather condition on the right. Maybe you want date and start time. Right? You can very easily move those fields. Let's say you wanna add another cell. Maybe you want the site location to be on its own. You can... The dynamic PDF gives you a a ton more flexibility, whereas the static PDF, you're refined to what, what you upload. I will say that that, dynamic PDF really excels with any subforms, any repeating subforms or repeating sections. There isn't a subform in here, but you would be able to configure how you want those sections to repeat. So, in that example I mentioned earlier, right, with, like, an order form, maybe one submission is five. The next is a 100. I know that's extreme, but, the dynamic PDF will expand and contract depending on your submission data. I won't actually... I'll I'll actually save this here, and we will see this in the workflow. But I'll I'll leave it like this, but we wanna send the static PDF in in... As part of the workflow here. Hey, Michael. Sorry to sorry to. stop you real quick. One question came up just about fonts, and, yeah. maybe studying a font throughout your form. So just maybe if you could share that and then move on, that would be great. Yeah. Yeah. So fonts, you can, click on a cell. So a a field within a cell, you can click on. This will show up the settings on the left. There's two different fonts that you can... To the label and to the value. Right? So the label would be, like, your field question. The field value would be, like, your answer, whatever is filled in for that field. We have, four fonts here, pop in Silvertica Arial signature. So you could very quickly just change your font here. Again, this is for the field label, so only the question will change. And then since we're here as well, you can also create field styles. Right? So let... Let's say, job site details body. Right? So let's say all of the, all of the questions should be Helvetica. You can, click on this, and I'm shift clicking, shift on my keyboard, and then clicking with my mouse. You can change all of the field formatting to that new, field cell that we just created. And so this would be a way to add or change all of your, multiple, fields to Helvetica without having to do it one by one. So you'll see I I just updated that there and then updated all of the fonts. And I can I can go back to? Right? If I do default, it'll change the font there. Very good. Thank you, Matthew. And thanks for the question. So very good. So we have a static PDF report. I also showed a little bit of the dynamic PDF report. Let's create a workflow that sends this PDF. So I'll publish this. I'll hit back to reports, and now we're gonna be in this this workflow button here. Global workflow is recommended. Right? This pulls all of your forms, all of your, integrations into a center, central piece of Fast Field. So let's do global workflow. Let's create a new workflow. Let's say let's say we wanna email this. Right? Email daily job site. When the following form is submitted. Right? So this is already, selected. We have a ton of actions. We can send this report, to a lot of, places. Fast field has a ton of native integrations. We don't have to do anything custom. Right? So in this example, we're gonna do an email action, but I'll just quickly scroll through. Right? There's FTP, SFTP, HTTP, HTTPS. You could send this this report that we just created to Dropbox. You could send it directly to your Google Drive, Google Sheets, to your OneDrive. Right? I think there's a SharePoint down here. You can send this to Quickbase. Right? So the file that you created or the report, the PDF that we just created, we can send that to Quickbase in addition to all of the the data points. Right? Salesforce. There's the SharePoint I was talking about. You could send a Slack notification. You could trigger a task. Right? Push notification. There's a ton of native integrations in here that don't require custom API or anything like that. So, just wanted to take a second to call that out, but what we want up here is we want to email... Let's say we wanna email someone who's not a user in Bassfield. So we'll email myself. We'll add an address. Forms. You can add a cc and a bcc address. Right? Email subject. Right? Daily job site risk. And then let's add let's add the date and time that gets collected. So let's... Dates. Let's do date and project site, actually. In email body, let's say new job site risk has been submitted. Please review the report at your earliest opportunity. And the same thing here. Right? If we wanted to add any of these fields as part of that email, we could do that as well. Let's scroll down here to data report delivery formats. So we're gonna send that PDF that we just created. Right? So let's toggle PDF. Legacy PDF is a different PDF than what we showed. It's a, report that just shows the form that's in, the order that the form has been built. What we want is a report builder template. So we created two of those. Right? And I did mention we could create multiple PDF reports per one form. Let's toggle this. We have the option to pick and choose what... Which which report we sent. Right? So, global workflow is very flexible in that we can send one report to one audience and another report to to another. Right? So good use case here is, like, creating a report for your customer. Maybe you pick and choose which fields, you know, get sent to your customer and then having a separate report that goes to your back office. Maybe this is the full report. This has everything that, you know, maybe the customer doesn't need to see. Right? So in this example, let's do static PDF report because that was the one that we mapped from the PDF, and then we can save this. So let's save. We'll add, and we'll go back to portal. We can actually submit this live. So just very quickly, actions, cert form. You can access this form on your web app or through your mobile, mobile device. Just quickly add these in. Test location, today's dates, start time. And then we'll do scroll down. What was toggle this now? Safety briefing and task hazards. Need to brief team on safety hazards, whatever that looks like. We can sign, and it was completed at 11:41, and we can submit this. Very good. So that workflow should trigger. Another way we can just track that down is if we go back into the portal, any global workflows get listed as activity. So workflow here. Global workflow. This is the other way to to, access global workflow, by the way, through the portal. You can see this is that email daily job site that that we just, created. We can very easily toggle it off. Right? Maybe this is a workflow that, we wanna turn off temporarily. We can very easily toggle that off and toggle back on. But in the activity, this is gonna show a full list of, workflows that have been triggered. And this is neat to know too as well because you can scroll over to the right. You can see the status here if it was completed. If it wasn't completed, maybe there was an error under status description. This will give you the exact reason why something maybe had, failed. Maybe there was a a a field that was required, and it wasn't filled out. Whatever the reason is, right, you'd be able to see it here under status description. So it looks like my email was sent out. It was completed. And so let me pull up my email on the other side here, and it might take a second. But in just a few minutes, we'll be able to get get our PDF, and I can show that, that email that gets sent. Close out of that and this here. We're good. So here's that email. Email subject, right, is what we, what we had typed into that that field, daily job site risk. We're pulling in the date. This also pulls in time zone too, so that's what this t zero zero is here. There is a way to format that if you're not wanting the time zone. Maybe you just want the date, and then whatever the site is. Right? So for our site, we we entered in test one two three. So that's what will show up here. You'll see that email body that we have entered in and then the PDF report. Right? So we very quickly, mapped... We uploaded our existing PDF. We mapped over the fields. Right? And so test one two three is is, mapped over the project site. You could see these check marks are are here listed, right, with appropriate yes, no, 1141, and then your signature. Right? So if you need that signature a little bit bigger, you could just expand that, that box that I, mapped over that I showed you, but you would do that through the report builder. I'll hit close here. One thing I do wanna call out is the naming convention of the report. So if there isn't a, a naming convention set, it will default to, I believe, the submission ID. This is what that that random list of character or random string of characters that you're seeing here. I'll close this email. I'm gonna go back into the, the daily job site risk assessment. We'll go back into the AI form builder. And up here, you should be able to update the display mask. So go yeah. Under settings. This is where on the first form that I uploaded, we did it, but then we we created the new form. So, yeah, it's right at the second one or the third one down, dynamic submission name. Yeah. Got it. Thank you, Matthew. Yep. Yep. So we can pull in fields from, the form. Right? So maybe we want the report to be project site and date, and I don't know who the set... Who the assessor is. Right? So if we set this up here, instead of having this report be a random string of characters, right, it will automatically be named whatever whatever the product site is, whatever the date is, and whatever the assessor name is. So it's really good if you have, like, a OneDrive or, like, a a Google Drive integration setup. It will drop in your PDF report already named. You don't have to do anything. Yeah. So let's, yeah, let's, save, this. just just as a heads up, we did have a question of maybe directing through workflow to, like, a Google Drive folder. So a lot of times what customers will use is what Michael just showed you, that dynamic naming convention to have that form then drop into the correct subfolder in your Google Drive, for example. Right? Yep. So you do have to have a integration set up, which I do not have at this time, but you would just sign in to your Google Drive, and then you would point all of your, your Fast Build submissions to a particular folder. And then upon submission, what would happen is your PDF would be created, and then it would be dropped into that folder that's designated. Now real quick before we jump into some q and a, you can add conditions to this. Right? So maybe we only want... I don't know what a good example is here. Maybe we will only want, like, like, submissions made by Michael, me, to to land in Google Drive. Right? We could we could add that condition. You could also add a condition maybe if, like, if any of these fail. Right? Or if any of these are no, you could have that condition. That way you only have failures in your Google Drive. So there's a lot of flexibility here. Again, you can pick and choose which reports get sent. You can choose the conditions, whether you want everything to land in there. Right? So there's no condition. Everything would land in there upon submission. Having conditioning will allow you to pick and choose what gets uploaded there. Very good. So we went from PDF into a mobile form. We created a custom report. Right? And now we have an email, with that report that gets sent out upon submission. So full end to end workflow there. Matthew, is there anything on your end that you'd like to add before we jump into, q and a? No. I I think I think that covers it. Thank you so much, Michael. That was great. So I do there are some fantastic questions, a few that I feel like we might need some clarification on. So I did put it back out there if we could get a little more clarification. But, maybe what we can do is just go through the questions that we have that that haven't been answered yet. Yeah. Let's, do it. yeah, feel free to add some more questions, that we can talk about here. So we have about another, you know, like, I think, what, twelve minutes until we wrap up here. Does that sound about right? Mhmm. Okay. Yeah. Okay. Alright. So I guess this one, I'm I'm I'm gonna just read it, and maybe, Michael, you can listen. And my question is pretty specific regarding the dynamic fields in the email body. So, you know, we have the ability to add subject line and body. Can you format dynamic field outputs into a table? For instance, if I wanna email a body to be a table within an item number one column and quantity in the second column. I mean, honestly, doesn't that sound like to you, Michael, that the output, it not necessarily the body of the email, but that would be like an Excel output or a Google Sheet output or maybe a SharePoint file where you directly say this is this is the formatting I want, and I wanna drop these fields in column one and column two. And you would have to then send that, like, to either SharePoint, you know, create that Google Sheet, or have an Excel output that. that you're pointing to. Does that sound about. right, Michael? Yeah. Yeah. I would agree with that. Yeah. And so, technically, the answer, I think, to your question is no. Not in the body of the email, but you can attach, you know, something that you've created, or at least point them to the the folder where it exists. K? Michael, if you wanna look at any of those and and grab one. Yeah. Yeah. That first one, which is can you have an answer from one question, autofill another question later, which that to me sounds like a calculation field where potentially and let us know if we're we're talking apples to apples here, but you have an answer which is project name. And, you know, three sections down, you might wanna refer to that same project name or maybe it's inspector and the inspector's name where they're signing off. You might wanna populate it. And if you wouldn't mind just letting us know if that's what you mean, the answer would be yes using a calculation field and pointing to that original field where that value exists. And, you know, that might be an office hour suggestion. And, Michael, maybe just real quick tell everybody about office hours because I think your team heads that. up. Is that right? That's right. So everybody's care of that as well. Yeah. Yeah. So my my team hosts office hours every, three times a week. So if there are any questions that you wanna, you know, talk through with, a Fast Field expert, right, you can register and hop on. Those calls are public to other customers as well, so don't, you know, share any private data or anything like that. But it's a good good way to see how others are using Fast Field as well as, you know, get your question answered. Yeah. So in... Very quickly, I'll just show, in the portal screen... In the portal, right, under help, you could do meet with Fast Field Experts. This will take you to the registration link, to where you can register for an office hours. It's through Zoom. Again, someone from my team is is hosting it, and we we do it three times a week. So, for any questions you need live support on, feel free to use this. Yep. And I'm gonna do a shameless plug here. I I work with the onboarding. So if you're a new customer that's recent to Fast Field and you're just getting started, I I would love to line up a meeting where we can do an onboarding session and help you get off to a good start. So between Michael's team well, Michael and I work together, but between our teams and what we're doing, onboarding and office hours, we'd love to help you. Yeah. Alright. So back to questions here. So this one that says on the static and dynamic reports, does it create two separate PDFs for customer versus a company copy? The I mean okay. So if I'm hearing you right, the answer is yes. Your static report and a dynamic report would be two different reports. Now that's the beauty of what Fast Field brings to the table is that you can create as many different types of reports as you want from one form that's submitted. So you might need to have data that's sent to your customer in a specific format, whereas you as a company might wanna hold on to the the complete report with all the details and and put that into a folder. So if I'm if I'm understanding that properly, the answer is is yes. So hopefully, that answers. your question. Yeah. There's. a question here. There's a function. Is there a function that the system issues a unique number to a form that cannot be changed? So there's a a unique form ID that can't be changed. And then with every submission, there's also a submission ID that's a random string of characters that cannot be changed. Mhmm. Right. Right. And, also, like, when you name your form, there is a GUID that follows behind the dynamic naming convention, which is unique, and that's kind of talking to the submission ID. If you want to count forms, we also have an instance, form instance number, right, Michael, that like, every time it's submitted, it can add an instance, like, a one, Yep. two, Yep. three. It can count up. Okay? Yeah. Alright. If you're... Yeah. If you... There's ways to, like, make that more unique too. Like, if you wanted to add, like, the exact time stamp of when it was submitted. Right? You can concatenate, the the string with the date and time. So multiple or... Multiple people are submitting. Let's say you're using unique form ID as your your your ID. Right? You can concatenate that with, like, date and time so that way it's truly unique. Yeah. Hey. So we have Craig, Oberman. Great to have you on. I think you hit every one of our webinars, so really appreciate you. And, on that measurement one, I think I need a little bit more clarification on what you're wanting. It kinda sounds like you're wanting, like, a two column situation where you have your measurement and then right to the side of that, some sort of signature. But if you wanna reach back out to me personally or to Michael or her team, on what you're wanting there, great, given the time constraints here. But if you wanna also clarify, we maybe we can answer that here. K? You see any other ones there, Michael, that you can pop into? Let me just check the chat here real quick. Yeah. Yeah. Okay. Can you build a report combining multiple submissions? So, the report is only tied to that one submission, unfortunately. Yeah. And and that's actually a really good, you know, point is is that every time a form is submitted, like Michael said, it it will point to a single single report. Right? And that's oftentimes why, you know, like, from our perspective, we might encourage you to take a look at Quickbase as a solution. You know, for if you're working with Fastfield and you're needing to aggregate data and bring that data together and generate a report, Quickbase does offer that. So just kind of a little note that if if you're looking to have visibility across, you know, projects and then aggregate data and generate a singular report out of, you know, months of work, that is something that you could consider, tapping into as well. Very there. Maybe, a like, one. more, Matthew, if you. if think find think. that's right. Yeah. Number of form that can't be changed. Okay. I I'm not seeing I'm sorry if if there is one out there and we didn't answer your question, but I am I feel like we've we've pretty much hit. them all. So thank you, yeah, for the time. Appreciate you all. Michael, good job. High five. Alright. Thank you guys for, hanging out for an hour. I know it's a lot to ask, so thanks for the time. Appreciate it. Thanks. Alright. Bye.
